| Calgary Flights and Hotels...! | | |
Yahoo!...Well over Three-Hundred Rounders in Calgary performing for crowds at the Stampede? What could be more fun (maybe 400 of us?). There's still time. Join us!! (see details in the side bar to the left)!
With the Stampede just 10 months away (can you believe it...just 267 days!!), our authorized travel agent and trip coordinator Music Festivals is in the process of finalizing both your airline and hotel reservations for this Canadian adventure. The following information is of extreme importance to those of you signed up to go. Please read through it in detail!
HOTEL:
The main hotel for the Second Time Arounders will be the Executive Royal Inn (Link and Address Here) and our overflow hotel, if needed, will be the Quality Inn Calgary Airport (Link and Address Here).
***Music Festivals will be assigning hotel reservations based on the date they received your original trip application***
The majority of the rooms booked at the Executive Royal Inn
are standard hotel rooms with either two Queen beds or one Queen bed and a pull-out sofa. Note that the hotel rooms have two beds, so if you are booked in a triple or quad, you will be sharing a bed with your roommate (but you knew that already, didn't you). There are a few upgraded rooms available for an additional cost. These are listed in the side bar to the left of this Newsletter and are available on a "first come, first served" basis by contacting Music Festivals direct
FLIGHTS:
Blocks of airline seats have been reserved for the Rounders for departure on July 7th from Tampa to Calgary and for the return on July 13th from Calgary to Tampa. Some information about your flights...and some options below!
GROUP FLIGHTS: Group flights, such as those reserved for your Rounders, are not usually the least expensive which may be a surprise to most people. Since airlines calculate the total amount of money they need to bring in for each flight, they usually have the first block of seats at a lower price and then the price increases as the plane becomes more fully booked (ever try to book a last minute flight?). Since we have large amounts of seats on the flights, we have taken the cost of all the seats and averaged the price based on the number of passengers on each flight. The cost per person to fly with the group on our reserved flights will be $677. In the original package price we estimated $600 pp for the flight and noted that we would provide the exact price in early October. For anyone who has selected the Air & Land packages then, there will be an increase of $77 pp that Music Festivals will need to add this to your final payment.
INDIVIDUAL FLIGHT: To further explain the process that airlines use for their flights, please note that it may be possible to secure a lower price by going onto the Internet and booking directly with one of the travel sites or on an airlines own website. Here again, their flights will be capacity regulated and the pricing will be based on the number of seats that the airline has available on each particular flight. You may see a flight that has a lower price and that particular price may only be
applicable for a few seats on that flight, so as more seats get booked, the price may continue to increase. If you decide to book your own flight... you can contact Music Festivals direct or put a note in the "Comment" section on the attached "Traveler Form" (LINK HERE) that you are booking your own flight and would like to change to a "Land Only" package. We will then adjust your Financial Form accordingly. This MUST BE DONE by OCTOBER 29. NO CHANGES OF THIS SORT MAY BE MADE AFTER OCT 29!
FLIGHT DATE CHANGES: Music Festivals has been contacted by many people who wish to travel to Calgary early, return late, or travel to/from different airports. The linked form (Link here) can also be used to notate these requests. Deviations in flight departure/return and airport may result in a change in airfare cost. Music Festivals we will be glad to check on different flights for you and will contact you with the flight times and price before we process the booking. Again, these requests MUST BE COMPLETE by OCTOBER 29!
Those making their own flight arrangements must arrange for the complimentary hotel shuttle and should not plan on using the chartered transportation to/from the airport for those on the "Group Flights (easy to do)."
Please notate your desired flight information on the linked "Traveler Form" and return it, listing any additional instructions in the "Comment" section.
***VERY VERY VERY IMPORTANT!***
Please note that once bookings are made with the airlines, names cannot be changed, so it is VERY IMPORTANT that we have exact names as they appear on your passport. In addition, we need to provide birth dates to the airlines since this is a new government policy that was recently enacted.

| Oktoberfest at Pete and Shorty's... | |
Join your Rounders Tuesday, October 19 at Pete and Shorty's Pinellas Park for "OKTOBERFEST 2010". In addition to a typical Rounders "good time" off-season, we'll also have everything you need to finalize your PASSPORT requirements for Calgary...just in case you couldn't join us for our Passport Party in July.
Need a new Passport or a renewal? Look for many of your Passport needs being met including forms and a photographer! We'll point you in the right direction!
Please bring an ORIGINAL copy of your birth certificate (if applying for a new Passport), and your Drivers License (a color copy of the front and back will be helpful...but we'll have a scanner and printer there too!). Oh yes, and bring your checkbook too for the fees. The fee schedule is here:
Even if you don't need a Passport, Come to "Oktoberfest 2010" There's talk of a dance presentation, Oktoberfest beer, specialty food, and lots of Oktoberfest fun with your Second Time Arounders...and even a large jar of pigs feet (an Oktoberfest delicacy) for those of you "brave" enough to eat them!
The gathering starts at 5PM...
...with Passport Processing beginning by 7PM-9PM.
