HIPAA CHANGES AFFECT YOU        
Keeping Your Client Information Secure

 

Effective September 23, 2013, the HIPAA Mega Rule will go in effect, imposing more stringent penalties for breaches of Protected Health Information. This will impact all franchisees. Our clients trust us with their private information and we must take extra care with that information. If you missed the webinar explaining the changes to the rules and the HIPAA manual last week, you can listen to the recorded Mastermind Call. Use of the email system is not considered a secure method to submit client information to CKFI. Penalties for breaches of security and privacy can be as much as $50,000 per each occurrence. Due to this change, CKFI will be discontinuing the qualityassurance@comfortkeepers.com email address for submission of Client Care Agreements and Plans of Care. You will receive an automated reply if you attempt to send documents to this email, reminding you to either fax the information to (937) 665-1362 or (937) 264-3103 or to send the information to CKFI via US mail. In an effort to protect the franchisees and CKFI from potential breaches and subsequent fines, CKFI will not open or download any client information sent via email beginning September 23, 2013.

Wondering how many calls have been sent to your office form the National Advertising? CKFI is sending the individual login information to all franchisees on Friday, 9/13. We will be sending the login information to the same e-mail(s) where we sent the NBF ballots in January 2013. If you have any questions regarding which e-mail address we'll be sending your login to, please contact Shaun Worcester, Internet Marketing Manager at ShaunWorcester@ComfortKeepers.com.

The e-mail you receive tomorrow will be sent from nbf2@comfortkeepers.com, and be sure to check your SPAM / Junk E-Mail if you don't see it in your Inbox, as this is a new e-mail address. If you do not receive your login information by the 5 p.m. EDT, contact your Business Coach.

phone cropped If you would like to redirect some or all of the protected zip codes in your territory to a new phone number, we invite you to use this form to communicate that to us. We will pass along those changes to CallSource, and they will make the necessary changes in their system. Bear in mind that this form is for changes only - and is limited to your protected zip codes.

Still wondering if the Call Routing technology is working properly for your office? Simply call (800) 477-3145, enter the zip codes that you own, and confirm that the call ran through to your office. If not, please fill out this form to report any discrepancies. Please limit your testing and reported errors to the zip codes that you own with your respective territory(ies). We will be communicating all the reports we've collected to date to CallSource, and the changes should be in place at the next update scheduled for early October.

SECOND CLAIMING PERIOD FOR OPEN ZIP CODES
Period Ends Friday, September 20th at 5:00 p.m. EDT 

  

Did you claim an open or unprotected zip code during the initial open registration period? If you missed it or want to extend the zip codes you have submitted, a second submissions period is now underway. The second round of submissions for claiming open zip codes is now through Friday, September 20 at 5:00 p.m. EDT.

If you believe you can serve clients in an unprotected zip code, we will work with CallSource to manage the call routing. If more than one Comfort Keepers® office agrees to service one of these zip codes, calls will be routed using an automated round robin feature. If a zip code becomes part of another franchisee's protected territory or if you routinely reject calls for a zip code, calls for that zip code will no longer be routed to your office. Keep in mind that the good will for the brand that national advertising generates will be compromised if we cannot fulfill customers' requests.
