Wishing you a happy and prosperous New Year!  The first of the year is the start of our trade show season; we hope that you will be able to visit us at the many shows that we will be exhibiting and sharing our new features.  We will be demoing the Quickbooks and Ship Compliant integration, the EasyID ability to scan drivers licenses, and many more enhancements.

SmartClub Relations Manager


Start the new year with the SmartClub Relations Manager - Customer Relationship Management (CRM) which is now available.  The Relations Manager is an add-on module within the SmartClub wine club management system that allows you to track and record all communication with your club members thereby allowing you to provide a higher level of service to keep those valuable club members. 

Incident tracking will give you insight as to how your club member's needs change and you can focus on providing the service they need based on the information you've gathered in CRM.
 
As businesses increase their reliance on technology, the customer relationship, always delicate, is eroding. How can you drive customer growth, retention and loyalty while sustaining cost efficiencies and promoting profitability?
 
Implementing a CRM system can help your winery or wine bar realize improvements in member satisfaction and retention, reduce cost of sales and services, increase sales and revenue and acquire new members. To be competitive today, wineries must meet the expectations of their customers, who expect constantly improving levels of customer service.  Keep those club members from becoming inactive!

You can track all correspondence and identify them as you wish with self defined "type" codes such as email, letter, winery visit, telephone call, etc.  You can also define "who" tracked or recorded this note and then be able to sort (ascending/descending) and or print by "date", "who" or "type." A simple search easily finds the members and displays all records of communication.  Notes can be modified with "change", "add" or "delete" functions.  The member's club and member type are also displayed.
 
CRM tools have been available in other applications to keep track of incidents with their customers and are now provided as a valuable tool in the wine club management system.  This valuable tool will improve the relationship between you and your very valuable club members.
 
To view the new module go to our website and download the demo (the demo is the current version of SmartClub) and change your database to the provided Clubdatabase.mdb to see the new module (see the User Guide on how to change databases).  You will need to setup a test wine club, test member type and test members to use the module.  Always back up your database first.

Tech Tips
CRE:  How can I track wine that I serve by the taste, glass or flight?  In Inventory Maintenance you would "Add" the bottle of wine; next, you would "Add" the glass, taste, and/or flight.  Using the glass as an example; in Inventory Maintenance you would bring up the glass of wine and select the Recipe tab, click on "Add Ingredient", select the bottle of wine, enter the volume of wine (.25% suggested), enter the yield (0% suggested), click on Save.  The cost of the recipe will be calculated based on the cost and assigned volume of the bottle.  When you sell the glass of wine, the bottle inventory will be depleted by the volume, so the bottle will be depleted by .25%. 
 
CRE:  How do I account for sales tax in my tasting fee? All states are different, however if you are required to charge sales tax for tasting fees you can have the tax included in the fee.  For example, you want to charge a $10.00 tasting fee and would like it to be inclusive of sales tax (assume your tax rate is 7.25%).  You would "Add" in Inventory Maintenance as an item the tasting fee, check Tax 1, check Bar Tax, and save.  Next, go to 4-SetUp, G-SetUp Screen, Restaurant Tab, check Quick Bar, and save.  When you ring up a tasting fee it will ring up as a price of $9.32, tax of $0.68 for a total of $10.00.
