Monthly Fuel Charges and DOT Information for Vehicles over 10,000 lbs. |
- Monthly Fuel Charges - A recent internal review of Yale fuel cards and driver PIN numbers resulted in the discovery of some inconsistencies. As a reminder, all department fleet coordinators are responsible for checking their unit's monthly fuel charges. YFM is in the process of having all the vehicles properly labeled. Read More.
- DOT Information for Vehicles over 10,000 lbs. - Lettering and Medical Cards - Yale University has vehicles weighing over 10,000 lbs. that travel out of state; this distinction subjects ALL our large vehicles to interstate motor carrier requirements. Fleet Management will be reaching out to you shortly concerning the installation of proper vehicle lettering.
- YFM is continuing to investigate government requirements regarding medical cards for all drivers of vehicles that weigh over 10,001 lbs. This does not go into effect until 2014. Look for more updates on this in the summer issue of Fleet News.

| April Fleet Auction Results | |
New Online Ordering Form |
Yale Fleet Management's second vehicle auction garnered over 80 bids resulting in all nine vehicles being sold. The weather was a bit wet, but that did not stop many Yale and local community members from viewing the vehicles at 344 Winchester Avenue. New for this auction was an online bidding form. Previously, bidders emailed their bid, which made data collection cumbersome. During the second auction, they were able to place bids with contact information online. Bidders quickly and easily submitted bids while the YFM staff were able to see all the data in one spreadsheet. The YFM staff could view the bidding live and the last 1/2 hour was very exciting with a few bidding wars!

| New Car-Share Program Announced |
First of its kind - available only at West Campus | |
Fleet Management partnered with West Campus Administration to introduce Yale's first car-share program. Yale employees can now share use of Yale-owned vehicle s when traveling for business purposes. This includes traveling to local meetings, conferences, or between Yale facilities.
Yale employees must complete a Driver Safety Awareness Training program. This car-share program is NOT for personal use. For more information and to view a training video, click here. |

Vehicle Idling Law - 3-Minute Limit | |
Eliminating unnecessary idling makes good sense, however, in Connecticut it is also the law. State law prohibits idling for more than three minutes, with certain exceptions, such as to operate auxiliary equipment, to bring to manufacturer's recommended operating temperature to defrost windows, and when it is below 20 degrees Fahrenheit. Help save our environment. Don't idle more than 3 minutes. For specifics on the law, click here.

| FleetFocus One Year Later | |
Now Log in Through CAS and get On-site Training | |
Last April FleetFocus was installed and tested. In July, it was made available to all fleet coordinators. Since then, Yale Fleet Management has been tweaking the program and recently went through a small upgrade. Users can now log in using their Yale ID and passcode. Its reporting features are helping YFM and departments make more informed decisions about vehicle maintenance or new purchases. "We can now track fueling and maintenance. Being able to see this data on individual cars enables departments to make better choices on future purchases or more thoughtful decisions on major repairs," said YFM Coordinator Ron Gitelman.
Trends can also be spotted through this data. Sorting by vehicle type, reports can reveal if certain models have good or poor track records. YFM reviews this type of information before buying new cars or trucks.

What do we do about emissions testing for our vehicles? Don't be late! |
Yale units will receive an email from Yale Fleet Management about 45-60 days before an emissions test is due. Each of YFM's approved maintenance vendors have emissions testing at their facility and agreed to bill Yale directly for emissions tests. No need to take cash, just the registration.
If a department uses a vendor not listed on the approved vendor page, they will need to take cash for payment. Participating stations can be located on the state's emissions site: www.ctemissions.com.
After completing the test, fleet coordinators must send a copy of the PASS or FAIL report to YFM at yalefleet@yale.edu so the vehicle information can be updated.
Avoid late fees and delayed registration renewals. A $20 late fee is charged when the emissions test is more than 30 days late! Registration renewals are held up if the emissions test has not been done. YFM will take vehicles out if service if the registration expires. So please take your vehicles in for emissions testing on time! |
