The Vestry and congregation of Trinity Episcopal Church welcome you to our parish and Owensboro, "Kentucky's All American City," for Diocesan Convention on November 7th & 8th, 2014. Downtown Owensboro and the waterfront have undergone major renovation. We are excited about the transformation of our city and we hope you will be too.

Friday
Check-in and workshops will be at the new Owensboro Convention Center, 501 W. 2nd Street, on Friday, November 7th. Check-in will begin at 12:00 noon Central Time on the east side of the convention center, 3rd floor. Friday workshops are scheduled from 2:00pm - 4:30pm. Workshops will be on the 2nd floor, east side. An elevator and escalator are available. There is ample parking at no cost.

The Convention Eucharist will be at Trinity Church, 720 Ford Avenue beginning at 6:00pm. Immediately following the Eucharist there will be a reception in the parish hall. Heavy hors d'oeuvres will be served; no one will leave hungry.

Saturday
Beginning at 7:00am a continental breakfast, which is included in your registration fee, will be served on the 3rd floor of the convention center, in the east dining room, overlooking the Ohio River. All of Saturday's venues: late check-in, meals, services, exhibitors, and the convention meeting room are on the east side of the convention center, 3rd floor.

Hotels
Rooms have been reserved at four area hotels: Hampton Inn - Waterfront, Hampton Inn - South, Comfort Suites, and Ramada Inn. (see below)

Convention registration
Please register on-line no later than October 10th for the convention at www.episcopalky.org. Dietary restrictions may be specified when you register. Unfortunately, we regret that child care will not be available.

Elected Office and Nominations

The deadline for nominations (Monday, September 15th) is approaching rapidly and there are still a number of slots that remain empty.  Particular areas of need are: Trustees and Council (presbyters and laypersons), Disciplinary Board (presbyters or deacons and laypersons) and the Cathedral Chapter (presbyter, deacon or layperson).

I need your help in identifying individuals who are willing to run for these positions.  Nominations can be emailed (rosebogal@gmail.com), faxed (270-753-2420) or snail mailed to me at St. John's Episcopal Church, 1620 W. Main St., Murray, KY 42071.  Please do not hesitate to contact me if you have questions about any of these positions.

Youth Presence

Kendall BadgettHelp our youth get involved and engaged in the polity of the church!  I need your help by spreading the word to increase youth involvement in Convention. If  you know of a youth who displays interest in the way the church works or displays leadership then here are two opportunities for youth to sit at convention: 

  • Youth Representatives- youth 14-18 years of age can represent the youth of the diocese as a whole as a youth representative. All youth representatives have seat and voice during convention, but they will choose 5 among themselves who will also have voting power. 
  • Lay Deputy - your church's lay deputy delegation can include youth 16 years or older who are communicants in good standing. These youth should show capacity for leadership within the local church community as they will be representing your local church.

As you consider the delegation process, please remember the Episcopal Church's Children's Charter:

The church is called to appreciate children's abilities and readiness to represent Christ and his church, to bear witness to him wherever they may be, and according to gifts given to them, to carry on Christ's work of reconciliation in the world, and to take their place in the life, worship, and governance of the church. (Ministry of the Laity, Pg. 855 BCP)

 

A few additional reminders:

  • If you are making hotel reservations and transportation arrangements, please remember that our Safeguarding God's Children guidelines do not allow for one adult and one child to room or ride together unless they are family.
  • The local church is responsible for transporting all youth deputies, providing overnight accommodations, and maintaining record of parent and emergency contact information.
  • We (the youth representatives and I) will find the opportunity to meet as a group the first evening to get to know each other, get oriented to the procedures of convention, and vote to see which 5 youth will have voting power.

Credentials of Lay Deputies
A lay deputy to Convention needs to be a communicant in good standing over the age of 16. Each congregation's Secretary or Clerk should submit their vestry, chapter, or bishop committee's elected lay deputies to the Secretary of the Diocese by October 8th.

For more information about lay deputies and how many each congregation can send to convention, please read these Canon 4 highlights.

Credentials may only be submitted by a congregation's Secretary or Clerk and can be submitted both electronically (preferred) and through the mail. 
  • To submit your credentials electronically, please complete our online Credentials of Lay Deputies form.
  • To print out your credentials form and submit it through the mail, please download the Credentials of Lay Deputies PDF. Please fill out the form on your computer before printing for optimum legibility. Please mail to: c/o Kay Wilkinson, Diocese of Kentucky, 425 S. Second Street, Suite 200, Louisville, KY 40202.

Note: Any person planning on attending Convention needs to register. Submitting credentials is a separate process.

Registration Instructions
Every person planning to attend Convention, whether clergy, lay deputy, alternate, visitor, or other, needs to register for convention.

The planning committee has worked hard to keep registration fees at last year's rate. Registration can only be done online and electronic payment is due when registering. Registration is due by October 10th.

Exhibitor Registration
Businesses and organizations seeking to take advantage of the 200+ people attending convention can register for exhibit space for Saturday. Exhibitors will be notified October 24th if there will be access to the exhibit space on Friday, November 7th. Exhibits will be located in the high traffic area of the convention center's 3rd floor east side where registration, venues, and meals will be held. 6' tables, chairs, electrical outlets are available. All other items, including table coverings, the exhibitor will need to provide. Registration is due October 10th.

Rooms are reserved with group rates at the following hotels. Group name for all of the hotels is "Episcopal Diocese of Kentucky." Room rates are effective until October 7th. Deputies need to use their own info/documentation for tax exemption.

Resolution Reminder
To submit a resolution please fill out the Resolution Form and submit to the Resolutions Committee. Resolutions are due by October 8th.
Documents Required for Seat at Convention
Diocesan Canons 4.6-7, 15.2, and 16.4 state that congregations within the Diocese must submit certain documents to the Diocese in order to be given seat and vote and Diocesan Convention. Those documents include:
  • 2013 Parochial Report (Due March 1)
  • 2013  Audit (Due Sept. 1)
  • 2015 Diocesan Commitment Pledge (Due Aug. 25th)
  • Secretary's Credentials of Lay Deputies (Due Oct. 8th)

We want to thank our congregations who have submitted all of their forms on time. We also want to encourage our other congregations who have fallen behind schedule to turn in their documents as soon as possible.
