Monthly Cybersecurity Leadership Message
Would you be frightened if you arrived at work one morning and tried to turn on your computer only to find that you are unable to access any of your documents or important files? Your data is being held ransom. This act is referred to as ransomware which is an especially dangerous type of malware, delivered through spear phishing emails, that locks up your data assets and requires a ransom to release them. Although ransomware has been around for several years, attacks are on the rise, increasing more than fivefold in 2015 from the previous year. Ransomware attacks are generally more sophisticated than your typical elementary phishing message so I ask that you be extra vigilant when reading your email. Please consider the following reminders to help protect yourself and AES from experiencing a ransomware attack.

A systematic approach to asset management
Becoming an energy star means we have to run our facilities in the most efficient way possible. Our Asset Management Policy and Standards provide us with a framework to drive optimum performance while minimizing costs, risks and expenditures over the life cycle of an asset. The Asset Management work stream, part of the Energy Star program, is helping us to improve the processes and systems in our existing Asset Management Standards. When the work stream is fully implemented, we expect to benefit from improved financial performance, access to information to help us make informed asset investment decisions, the ability to better manage risk, increased operational performance and demonstrated compliance. Overall, these benefits will enable us to enhance our reputation as an operator and as a company.

Ethics and Compliance 5x5 project update
Earlier this year, the Global Ethics and Compliance team launched a new contract compliance process for the review and approval of low risk transactions globally. This significant process improvement is one of the key initiatives from the 2015 Contract Compliance 5x5 Program in which the Global Ethics and Compliance team identified leading practices and potential efficiencies in the Contract Compliance Review Process.
As of July 1, 2016, any compliance approval of a vendor involved in a low risk transaction is valid for a one year period. All subsequent low risk transactions with an approved low risk vendor will no longer require compliance review and approval within that one year period. This new initiative replaces the process whereby each new low risk transaction was reviewed, which resulted in multiple approvals of the same vendor within a year.
All high risk transactions will continue to be reviewed and approved on a transaction-by-transaction basis. A vendor that has already been approved for one year for a low risk transaction will still require review and approval to participate in a high risk transaction within that year period. If you have any questions about the new one year vendor compliance approval for low risk transactions, please reach out to a member of the Global Ethics and Compliance team.

Conducting an effective Safety Walk
Safety Walks are essential to improve the safety culture at AES because they provide a way for leaders to interact with people and find ways to strengthen the safety of our workplaces. Leaders set clear expectations for people to perform work safely and ensure the necessary tools and infrastructure are available to people. People also receive real-time feedback about the things going well when it comes to safety and the opportunities for improvement. Today, we will learn about the last two elements of effective Safety Walks.
Document your Safety Walks. Safety Walks must be documented. The observations can help leaders close gaps and put corrective actions in place that contribute to a safer workplace. Observations can be positive and worthy to be publicly recognized and promoted as best practices, not only for local businesses but also for other AES sites in different countries. Whatever is recorded in the Safety Walk report should not be a surprise to the work team observed during the Safety Walk. Both positive feedback about good practices and areas for improvement should be talked about. An agreement should be made to correct identified areas for improvement. Later this year, the Safety Walk module for laptops and mobile devices will launch with a self-register mechanism to track Safety Walks electronically.

Nelson Vásquez is Always On for Safety
Nelson is the Maintenance Department Manager at Alfafal Plant of AES Gener in Chile, part of the Andes SBU. He believes that anyone who puts safety first can become a safety hero, on the job and at home. "As leaders we are called to be safety heroes by fostering good safety practices. Anything that we do at work has a direct impact on our families. When we strive to create and sustain an incident-free workplace, we are helping ourselves and our colleagues return home to our families."
Nelson agrees that using our Stop Work Authority without hesitation is very important. "A crew of electrical mechanics were using an extension to operate an electrical tool that didn't meet our standards. I asked them to analyze the situation and replace the extension in order to resume work," recalls Nelson. He also believes that work should be stopped to recognize good safety performance. "We recognize the good safety performance of our teams during Safety Walks. We stop the work and recognize good practices," added Nelson. He also explained why they are always safe at Alfafal, "Positive recognition ensures that positive and safe behaviors are repeated over and over again. As leaders, we should practice and acknowledge good practices and behaviors and promote these appropriately," said Nelson.
Thank you, Nelson, for reminding our people to be Always On for Safety by promoting safe behaviors.
