Annual Homeless Assessment Report
The Annual Homeless Assessment Report (AHAR) is due to Congress on Wednesday, December 16, 2015. This report gathers information on all persons, including children, who resided in an emergency shelter, transitional housing program, or permanent housing program during the period of October 1, 2014, through September 30, 2015.  
 
This report informs congress, and the nation, of the Balance of State (BoS) Continuum of Care (CoC) yearly homeless population numbers and demographics. It is also used as a research tool by several outside national organizations and Kentucky Housing Corporation (KHC).  
 
To give the most accurate information to Congress and the nation regarding the BoS CoC homeless population, KHC requests that each Kentucky Homeless Management Information System (KYHMIS) Subject Matter Expert (SME) check their agency's information for accuracy.  
 
During October, please take time to go through this report and double-check information, as it will be reported to the U.S. Department of Housing and Urban Development (HUD) and Congress. 
 
All KYHMIS SMEs have access to this report and are solely responsible for the data reported for their agency. If you are unsure of your SME or do not have access to this report, please contact Lena Columbia at lcolumbia@kyhousing.org.  
 
All agencies, including Recovery Kentucky centers, must check information in KYHMIS to ensure the agency has the correct information for your HUD AHAR and Housing Inventory Count (HIC) reports for 2015. Agencies have until the end of October to correct all errors in KYHMIS. To know where to go to identify errors and missing items, please use the following procedure:  
 
1. Log into ServicePoint
2. Click on Reports
3. Click on Annual Homeless Assessment Report (AHAR)
A. Provider: Click on "Search" to choose the project you are running the report for.
B. Type of Data to Use in Report: Click on the drop down and choose "Entry/Exit."
C. Table Shell: Choose the report that fits your project.  
i. You may have to run more than one report depending on how many projects you have.  
ii. There is no need to click on "Reporting Veterans Only." 
D. Operating Year Date Range: Set dates for Operating Year 10-1-14 to 9-30-15 and Point-In-Time Dates of 10-29-14, 1-28-15, 4-29-15, and 7-29-15.
E. Click "Build Report."
F. Once report has run, you can click on the blue numbers to see which clients are counted in that number set.
G. Areas to look for data quality:
i. "Missing Information" in any category.
ii. If the report is for Individuals, there should be no children in any categories. Look for:  
--Age of children
--Gender of children
--Household Type
H. Correct any data errors. Once you have corrected data, rerun the reports to insure data quality. This is a canned report and corrections will show each time you click "Build Report."
I. This process must be completed for all projects by Friday, November 6, 2015, and an email sent to Lena Columbia at lcolumbia@kyhousing.org confirming all reports have been run and all data errors corrected.  
 
Thank you for assistance with the AHAR process. KYHMIS staff will run reports during October to check agency progress.
KYHMIS Training Dates
KHC has scheduled KYHMIS trainings for November. All trainings will be from 9 a.m.-4 p.m. ET, in KHC's computer training room in the west annex, located at 1231 Louisville Road, Frankfort. Seating is limited and available to registrants on a first-come, first-served basis. To attend a KYHMIS training session, users must submit a Training Request Form no later than three days prior to the session to ensure space is available. As a reminder, these scheduled KYHMIS New User Trainings are not Recovery Kentucky KYHMIS trainings.
