President's Monthly Message

To all of our Association friends and neighbors, welcome back to your homes in IronOaks. It has been a long hot summer here in Sun Lakes. We are just around the corner from the best weather in the West.

There is a lot to look forward to as we move into the fall. Your GM, Faye Stone, will soon be presenting all of the new schedules, menus and activities for our Amenities.

Your Board and General Manager have been working through the summer on numerous projects. We will be bringing the Community together over the next few months in Town Hall formats to preview and discuss these potential additions to our Community.
Faye will be updating the Community on the progress made on the Lakes Course refurbishment.
Your Board has had two of its Members resign. Bill Thompson, Member at Large, left for personal reasons on August 31, 2015. Phil Tollefson, Member at Large, resigned his position due to personal health reasons. I want to thank each of them for their service and contributions during their terms.

How do these resignations affect our Board and the terms of the Members?
We are in a Board election cycle. In the case of Mr. Thompson, his resignation came at the beginning of our nominations, so we just added the third position to the candidate roster. Mr. Tollefson's resignation did not affect the open position roster. His position was only a one-term seat. He was elected to this term due to a resignation back in 2014.
Our nominations are closed and we have our Board Candidates. They are; Richard Eslick, David Erwin and Lawrence Mantovi. The number of Nominees is equal to the number of open Board seats. The Election Committee Chairman, Bob Deken, will be reporting on how we will proceed at the Board Meeting on September 30th.

We are fortunate that we have Association Members that will step up and become Members of your Board of Directors. We have a talented team of new and current members that are ready to serve and contribute to the growth and value of our great community.

Completed Projects in the last 30 days: 
   Reserve Study Software: We purchased new reserve study software as our prior program was having issues retaining changes, which caused inaccurate information. All data has been entered and tested to ensure everything is working properly. 
   Advisory Groups: We have added two new advisory groups (Patrol/Gates and Activities) and they met for the first time in September. A schedule of meetings for committees and advisory groups is posted at the concierge desk. 
    Monument Signs at Oakwood: A resolution was approved in May to replace the four major monument signs at Oakwood. All four signs are now complete and the old signs removed. 
    Oakwood Kiddy Pool: We completed the increased wall height around the kiddy pool due to revised code standards for 2015 and the wall was repainted. 
   Block Fence and Gate Painting at Oakwood: This has now been completed on the west side of the Oakwood property. 
   TV's at Ironwood: New TV's have been installed and Direct TV has been hooked up to them.  We will be hosting several sporting events at Ironwood. 
   Golf Practice Area at Oakwood: Wadsworth re-graded the practice area and replaced sod and the area is available for play. 
    Administrative Offices: The Patrol/Gates and the ALC offices have been relocated within the Arts and Crafts building. Homeowners will now be able to acquire most permits during Monday - Friday 8am - 4pm. This was accomplished without adding any additional payroll expense by utilizing our current staff better. The Communications/Marketing office has been relocated to the last office in the Oakwood Clubhouse. The F&B restaurants, banquets and activities staff has been relocated to the second office in the Oakwood Clubhouse. The new Ocotillo room in the Arts & Crafts building will be open for homeowners to use on October 1st.

Current Projects: 
    Halley & Voax Pools at Ironwood: The gas lines for the Voax and Halley pools have now been completed, the county inspected the lines on the 23rd. Now Southwest Gas will install the meters and the pools should be ready by October 1st.  
   F&B Menus & Staff Training: New menus and pricing for banquets are nearing completion. An employee training program will begin in the next month for current and future staff. We have two outside companies providing free training for both food and alcohol. 
    2014 Financial Audit: The external CPA firm has completed the draft audit of the 2014 financials. Once the tax returns have been completed a final copy will be provided

    Lakes Golf Course at Oakwood: The Lakes golf course renovation project was approved at the March BOD meeting. Construction began May 11th and weekly review meetings are held, at this time we are 97% complete.
    New Activities Calendar: We are currently working on the new calendar of activities for the upcoming 2015-2016 season. This will help us provide our homeowners with a larger number of social events throughout the year. 
   Equipment Inventory for Banquets at Oakwood: We are doing an inventory count of our silverware, plates and glassware for the banquets department. We plan to have a full inventory completed by the end of September. 
    F&B Renovations:  A resolution was approved by BOD in June to hire an architect to create plans and designs for the Oakwood bar and restaurant. We should have preliminary designs and cost estimates soon and a workshop will be scheduled to present to homeowners for comments and questions. 
    Seal Coating of Roads: A resolution was approved at the May BOD meeting; we began work on August 4th. We should be complete by the end of September. 
   Palms Lake #7: We began repairs on the large fountain on the Palms Lake #7 at Oakwood.  
   Informational Monitors: We are currently working on our new information monitor system to be placed around the clubhouses. The Communications team is working on designing the layout and information for the system.
    Fiber-optic cable:  We have installed new fiber optic cable to Ironwood and the maintenance yards at no cost. This will help alleviate computer and phones issues we are experiencing. We are now setting up the switches.
   Halley Tennis Courts at Ironwood: The BOD approved the conversation of the clay tennis courts to post tension, replacement of all light fixtures and fencing at the May BOD meeting. Work began on the 22nd of June; we are waiting on punch list items to be completed.
   Work Order and Preventative Maintenance Software: The BOD approved the purchase of new software for the two new systems. We are now awaiting approval of the installation and staff training. This system will be used to track progress of work orders and help sustain and prolong the life of our equipment.
   Dishwasher Station in Oakwood: The architect has provided us with draft plans for the new dishwashing area, which includes a new dishwashing unit, repair to existing walls and modifications to give direct access to the ballroom. We have temporary storage containers for items in the banquet storage room which shares a wall with the dish area.
An RFP was published requesting quotes which are due September 25th. 
  Quality Assurance Program: All departments are currently working on their quality assurance programs. This project is to develop a standards and procedures program to ensure that we deliver consistent and quality throughout the HOA. 
   2016 Budget: We began the 2016 budget process and have met with the department Directors. We have presented the 1st draft to the finance committee and the 2nd draft will be presented at a budget workshop to the homeowners.

Future Projects:
   AT&T Cell Tower: We have been informed the cell tower project has been moved to the 2016 build schedule but have not been given an exact date yet.
   Ballroom Dance Floor at Oakwood: The ballroom dance floor is scheduled to be stripped and waxed in October.
   Clay Tennis Courts at Oakwood:  New clay will be ordered to use on the tennis courts at Oakwood.
   F&B: We are setting up a cake ordering service with Basha's and looking at offering curbside pickup for To-Go ordering.
   Ironwood Golf Course Renovations: The task force and project management teams have both met to review the upcoming proposed renovation project for Ironwood. The pump station will be addressed first due to scheduling.
   Ironwood Golf Course: The course will be closed from September 21st - October 12th for overseeding.
