GM Corner

Good Afternoon Homeowners:       
September 28, 2015

The purpose of my GM corner is to provide a weekly summary of committee, advisory group, staff, and BOD meetings from the prior week and also a more detailed status of on-going projects around our community. Here are the meetings that occurred over the previous week of September 20th to September 26th:
  • Monday: No meetings and it wasn't even a holiday.
  • Tuesday: The Finance committee met and reviewed the 2016 Budget. We discussed an increase in membership pricing for Fitness, Racquets and Golf. Our CPA firm attended and reviewed a few items regarding our 2013 and 2014 Financials and Tax Returns.
  • Wednesday: I met with the architect and landscaper regarding the new proposed wedding venue space that will be necessary once the restaurant/bar renovation project begins. I will be presenting to the BOD the proposal along with cost estimates and ROI.
  • Thursday: The Fitness/Racquets/Softball Advisory Group met and discussed the purpose of the group and how they could assist staff. The group consists of fitness, tennis, pickleball and softball homeowners. John Porter and I met for our bi-weekly meeting and Jim Willsey attended. We discussed our accounts payable and accounts receivable processes. I was requested to provide feedback to the BOD on our enforcement of citations procedures along with the homeowner appeal process. The Management Directors met for our weekly meeting to review the projects occurring around the property along with upcoming projects. We also discussed the new Ocotillo room in the Arts & Crafts building which will be open for homeowner use beginning October 1st. If you would like to use the Ocotillo room please contact Lynn to be added to the room booking schedule. The F&B management team (Dean, Linda, Heather, Danielle, and Tim) met to review the new menus, upcoming events and staffing concerns with the season beginning.
  • Friday: I held my monthly GM Meet & Greet at Oakwood with the F&B Directors and Managers.

Project update:
  • Gas Lines to the Halley and Voax Pools at Ironwood: Work began on May 26th on the Voax and Halley pools; the installation of the gas line and the county inspections are complete and the meters are almost finished. The two pools should be heated by the end of the week.
  • Lakes Golf Course Renovation: Work began on May 11th and is scheduled to be complete by October 1st. Wadsworth has been a fantastic contractor to work with. Please stay off the course to give it time to heal, if you would like a tour see Eddy to make arrangements.
  • Monument Signs at Oakwood: Work began in July to renovate the four monument signs at Oakwood which were the Arts & Crafts Building, Fitness & Racquet Center, Golf Pro Shop and the Oakwood Clubhouse. They are all complete and we are proposing for the 2016 Budget the signs at the Sun Lakes Blvd gate entrance and the Ironwood Clubhouse be renovated.
  • Seal Coating of the Roads: The roads scheduled for seal coating should be complete by the end of the week. The only issue we faced was Ironwood residents moving barricades and driving on their fresh roads. This was not all the roads throughout the community as we schedule them in stages each year. We had all our roads re-measured to update the square footage for the reserve study.
  • Halley Tennis Courts Conversion: Work began on June 22nd to convert the clay tennis courts to post tension and replace all the light fixtures and fencing. The old clay material and fixtures were removed and light poles and LED lights were installed along with new fencing and seating. The project should be complete by the end of the week.
  • Dishwasher Station at Oakwood Renovation: The dishwasher went down in May and we were washing and sanitizing the dishes by hand. It was repaired, but it was determined there was water damage to the area around it including the banquet storage area. An RFP was published requesting quotes and we will be presenting to the BOD for approval. We have acquired all the necessary permits and our architect will help to oversee the project is completed as required.
  • Restroom Renovations: An RFP was generated and quotes received, however we discovered the square footage for the tile was not the same quoted as we have listed in our reserve. We are having the tile re-measured to ensure we have the correct measurements. We will be presenting to the BOD two options; one to have the entire restroom renovated and one to leave the tile and update everything else. We are purposing to do four sets of restrooms (2 in the Oakwood clubhouse, 1 in the Oakwood Pro Shop, and 1 in Arts & Crafts) to save on cost.  
  • Oakwood Main Pool: We renovated the landscaping around the interior of the Oakwood Pool area as many plants and trees had died, leaving lots of empty rock beds.
  • Offices: New carpet and paint has been completed in the Administrative offices at the Oakwood clubhouse and the Patrol/ALC/Ocotillo rooms at the Arts & Crafts Building. We have re-arranged offices to consolidate staff; the Patrol/ALC offices are now combined so we may offer most permits five days a week from 8:00 am to 4:00 pm, the F&B offices have been combined into one area and Communications office has been moved one room over in the Oakwood clubhouse.
  • The F&B Oakwood Renovation, Pickleball Courts, and Park Projects will be presented at homeowner workshops which will be scheduled in October and November. This will give homeowners an opportunity to see the proposed projects, provide feedback and ask questions.
Here are a few comment cards/emails to me for this week:
  • I think you and the board are doing a fantastic job! I am proud of how our community looks.
  • We had a nice crowd and Michelle did a fantastic job, thanks for your support. We will do this again next Tuesday hoping we can duplicate yesterday's revenue.
  • Thank you for your fast action on removing the shrubbery blocking a view of oncoming vehicles. It is much appreciated. I have been a resident for over 19 years and you have been the best GM - we have had - being the most responsive to the Homeowners. In prior years it would have taken months if then to accomplish what you did in two days. I am also supportive of your other initiatives - specifically the consolidation of the Oakwood lounge and the closing of the Poolside Café - redundancy is costing us. Thank you again and keep up the excellent work to enhance our living here in IronOaks. 
 
I would like to remind everyone when we have an event with decorations; those items should not be taken. Some of the decorations were donated by staff or homeowners for the event with the intent they would receive them back. We also keep all the décor to use again so we can save expenses and keep the event prices lower. Don't forget we have a 2016 Budget Workshop and BOD meeting on Wednesday, September 30th at 9:00 am in the Ballroom. On September 30th, at 7:00 pm in the Ballroom there will be a Meet and Greet with the three new BOD nominees.
