IronOaks Budget

Budget for IronOaks - APPROVED

 

The IronOaks 2015 Operating Budget was approved by the Board of Directors at the November 19, 2014 monthly board meeting. Assessment notices will be sent out in the next week or so and are due by January 1, 2015. No penalties will be assessed for late payment unless they are not received by January 31, 2015.

The chart below depicts the breakdown of how your annual assessment (dues) dollars are spread out over the nine (9) operating departments of IronOaks.

 

 

Committee Reorganization

At the November 19, 2014, monthly BOD meeting, the Board passed a Resolution to commence the Committee Reorganization Process. The following is the history of the information that has been presented regarding the Committee Reorganization Proposal:

 

Board of Directors Meetings:

  •   April 16, 2014, workshop
  •   May 28, 2014, monthly meeting (President's report)
  •   June 25, 2014, monthly meeting
  •   July 23, 2014, monthly meeting
  •   August 27, 2014, monthly meeting - the full re-organization proposal was posted along  with the minutes of the meeting

In addition to the BOD and Standing Committee meetings, re-organization was covered in depth at the following Committee Chairs meetings: 

  • September 2013, Wayne Karp presented the issue as a discussion item and as a task to be looked at in the future.
  • June 13, 2014,Thefirst in-depth presentation was made to the chairs, followed by open discussion
  • July 23, 2014, Revisions were made as a result of discussions at the Committee Chairs meeting in June.
  • October 22, 2014, A draft of the Committee Reorganization Chart was presented

A Word From Accounting

 

Assessment statements will be mailed December 1, 2014. Remember, all payments are due by January 1, 2015, and will incur late fees if paid after January 31, 2015. Payment can be mailed to the address on your statement, given to the concierge at the Oakwood clubhouse or paid with check or cash in the accounting offices.

AMENITY USAGE SURVEY

 

Thanks to the 1,944 homeowners who participated in the recent Amenity Usage Survey! This is the biggest response we have had to date on any survey.  

 

The results are being analyzed and will be published in December. The results will be used by the Board and management to assist in making decisions for the future of our HOA.

 

 We look forward to even greater participation in January when the second Annual Homeowner Survey will be conducted. This survey solicits input from homeowners regarding progress toward the Master Plan goals. Your input on this annual survey will provide information for committees, the Board and management to set goals.

 

Ad Hoc Gifting Committee

The IronOaks Ad Hoc Gifting Program Development Committee is holding its 5th meeting on Thursday, December 4, 2014 at 10:00am in the Oakwood Clubhouse Library. The "gifting program's" purpose is to create opportunities for interested parties to donate resources for IronOaks community enhancements or individual memorials. Interested homeowners are encouraged to join us, especially if you have skill-sets that can help propel this program forward. Natural Gas Leaks Still Affecting
Halley and Voax Pools

 

On Friday, November 14th, Incompass Inspections attempted to locate the second leak in the gas line to the Voax and Halley pools and spas. However, they were unsuccessful. Currently the Facilities Department is exploring solar heating with input from SRP and is also investigating the possibility of propane heating.

The Department does not expect the Voax and Halley pools and spas to be open until sometime after the first of the year. Thank you for your patience and understanding while we resolve this issue.

Customer Satisfaction Month

 

Our core purpose is to create, protect and promote an active adult lifestyle community with resort style amenities and to enhance the community's value. Essentially, we are here to make a difference in the lives of our members.  Every action, or inaction, creates the environment that our members reside, dine, exercise and golf in!  One can see how a customer service driven approach would be necessary!

Last October we embarked upon the first annual Customer Satisfaction Month to further facilitate the initiative of achieving our core purpose. This year, December will mark our second annual Customer Satisfaction Month!

 

The following bullet points detail how Customer Satisfaction Month will operate:

  • Success pins will be provided to all Staff Managers, Committee Chairs and Board Members, and will also be made available at amenity venues. Please look for them upon entry!
  • Each time you notice that an employee has gone above and beyond to provide the utmost guest satisfaction, present the employee with a pin.
  • At the end of the month, the employees' pins will be collected and tallied. The employee with the most pins will be selected as the 2015 Customer Satisfaction Champion! The Customer Satisfaction Champion will be announced at the January Board meeting as well as through Stay in the Loop.
  • This pertains to all staff members!

We appreciate and look forward to your participation!             

   
Holiday Decorating Guidelines and Suggestions

The holiday season is fast approaching. Holiday decorations and lighting may be displayed between November 15th and January 15th. Although there are no specific guidelines regarding the hours that lighting, music or vocal sounds may be displayed, please be respectful of your neighbor's right to privacy. Timers should be considered for automatic shut-off for any display. Please remember not to direct any spotlights towards the street or the neighbor's yard or house. Following a these simple guidelines ensures a festive and decorated holiday season in IronOaks for everyone's enjoyment.
   
A Message from ALC
                              

The ALC office has been going over old records and fine procedures. The ALC Guidelines, one of the HOA governing documents, states that failure to obtain a permit for any work done to the outside of homes in IronOaks carries a $100 fine.

 

In order to tie up loose ends at year end, we are allowing homeowners who may have inadvertently done outside work without getting an ALC permit to come into the office and fill out the necessary forms, pay the appropriate fees for the work done, without incurring any fines.This grace period ends December 31, 2014.

 

Hereafter, the fine rule will be strictly enforced, so be sure to come to the ALC office and/or go online to review the Guidelines and download and fill out the appropriate forms. When you have your permit, make sure to post it in a window facing the street so the Patrol can see it. Thank you for helping to keep IronOaks beautiful for us all.
