President's Report
President's Report:  November 19, 2014  New

 

As of now we have received thirteen candidate resumes for the General Manger position, some were directly submitted and others by the Adamen Agency. The Selection Task Force (STF) that consists of myself, Doug Bishop, John Porter, Dick Rubin, Kathy Heineman, Phil Tollefson, Clark Champion and Natasha Bell, reviewed the resumes and determined that four candidates met our initial criterion. For example, we looked for management of at least 2000 residences, a budget of at least $5million, on-site restaurants, Community Association Institute certification, etc. A list of questions will be sent to the candidates soliciting a written response to be followed by telephone interviews by the STF. The Board, with newly elected members, will be present for the phone/Skype interviews, but the questions will come from the STF. From these interviews the STF will select 2 or 3 candidates for further consideration. Background checks to verify employment history and references will be conducted. The finalists will be invited to IronOaks for in-person interviews by the full Board and informal discussions with the staff management. At this point a final selection can be made and contracts negotiated.

 

Over the course of the last 6 or 7 weeks the Board has identified factors that will define success for the GM hire and Board. This process is not fully complete and will proceed over the next few months. In this process we verified the need for a long range plan for our facilities. This was brought home by review of the proposal to be brought forward by the Ad hoc PickleBall Committee that we heard at the Board meeting.. A serious issue with parking has become glaringly obvious. Mike Kozak from the Properties Committee has summarized the situation in a report that analyzed the original design by Robson. We have identified a civil engineer that worked on the Pickleball Committee who will further explore the County requirements versus our current parking capacity. Until we understand the parking situation and the best and highest use of our facilities, we recommended that consideration of new and expanded amenities be suspended.

Committee Update 

 

Welcome Committee

 

 The Welcome Committee held its semi-annual dinner for new homeowners on November 10th in the Oakwood Ballroom.  Over 70 new homeowners attended along with committee members and the HOA Board President, David Peters.  The event enables new homeowners to meet and mingle, learn some valuable information, and enjoy a great meal.  The next event will be March 31, 2015 and all first time new homeowners who closed on their homes between September 1st and February 28th will be invited.

On November 17, 2014, The Source, a market report from Pro*Act, provided an update as it related to the quality and supply of the produce market.

Tips to consider while shopping at the grocery store as well as when dining out are as follows:

  • Strawberry demands exceeds supply; resulting in very limited availability
  • Limes are very short due to cold temperatures and recent rain
  • There is a shortage of smaller sized apples through the Eastern Shippers
  • Lettuce and Romaine items will be affected by the Cold & Icy Weather

These shortages, shipping constraints and weather reports will affect not only the availability of these items, but the pricing as well.

During the 2014 Annual Meeting of the membership held on November 17, 2014, Sgt. Alan Goodman from the Maricopa County Sheriff's Office brought to our attention the recent scams that are becoming more prevalent in communities such as Sun Lakes.

Sgt. Goodman provided the following tips to avoid falling victim to such scams:

  • Do not leave valuables in the car
  • Utilize Vacation Watch through the IronOaks Patrol Department when leaving town for an extended period.
  • Do not publicize vacations on Social Media
  • Utilize the contractor list provided in the IronOaks ALC Department
  • Procure multiple bids on contract work to assure the work is warranted and the quote is appropriate
  • Avoid purchasing items or sporting tickets through means other than the official ticket sales offices
  • Verify the legitimacy of officials contacting you for personal information by hanging up and calling the individual back on the official phone number provided by a public means (such as the yellow pages, or the professional website)
  • Verify the license/badge number of any contractor, sergeant, or business entity prior to allowing the individual into your home or providing up-front payment for any services

The safety of the membership is important to the Association. Please do not hesitate to contact the Patrol Department with any concerns.

Natural Gas Leaks Still Affecting
Halley and Voax Pools

 

On Friday, November 14th, Incompass Inspections attempted to locate the second leak in the gas line to the Voax and Halley pools and spas. However, they were unsuccessful. Currently the Facilities Department is exploring solar heating with input from SRP and is also investigating the possibility of propane heating.

The Department does not expect the Voax and Halley pools and spas to be open until sometime after the first of the year. Thank you for your patience and understanding while we resolve this issue.

 

 

Sun Lakes Fly Fishing News
 

Do you remember when your kids got so excited that their faces radiated unbelievable smiles? Well, that is the type of smiles the four of us over 60 year old "big boys" had on our faces last week when we landed close to twenty hogs (large trout). The  picture is of Randy Smith, who landed several. Most of the fish were 19'' to 24" in length and weighed an estimated  2 1/2 to 5lbs each.

 

Our three day fly fishing trip to the Pinetop area at three separate fisheries was outstanding. Having limited success at the first two lakes, we opted to fish Silver Creek for rest of the trip. Soon after our arrival, we started landing hogs, and everyone's faces lit up with contagious smiles. No matter what they say, catching fish brings out the boy in any man! The one thing that enhanced our experience of catching those trout, was knowing that we released all of them unharmed, to be fished another day.

Customer Satisfaction Month

 

Our core purpose is to create, protect and promote an active adult lifestyle community with resort style amenities and to enhance the community's value. Essentially, we are here to make a difference in the lives of our members.  Every action, or inaction, creates the environment that our members reside, dine, exercise and golf in!  One can see how a customer service driven approach would be necessary!

Last October we embarked upon the first annual Customer Satisfaction Month to further facilitate the initiative of achieving our core purpose. This year, December will mark our second annual Customer Satisfaction Month!

 

The following bullet points detail how Customer Satisfaction Month will operate:

  • Success pins will be provided to all Staff Managers, Committee Chairs and Board Members, and will also be made available at amenity venues. Please look for them upon entry!
  • Each time you notice that an employee has gone above and beyond to provide the utmost guest satisfaction, present the employee with a pin.
  • At the end of the month, the employees' pins will be collected and tallied. The employee with the most pins will be selected as the 2015 Customer Satisfaction Champion! The Customer Satisfaction Champion will be announced at the January Board meeting as well as through Stay in the Loop.
  • This pertains to all staff members!

Holiday Decorating Guidelines and Suggestions

The holiday season is fast approaching. Holiday decorations and lighting may be displayed between November 15th and January 15th. Although there are no specific guidelines regarding the hours that lighting, music or vocal sounds may be displayed, please be respectful of your neighbor's right to privacy. Timers should be considered for automatic shut-off for any display. Please remember not to direct any spotlights towards the street or the neighbor's yard or house. Following a these simple guidelines ensures a festive and decorated holiday season in IronOaks for everyone's enjoyment.

According to the ALC Guidelines, painting the exterior of your home requires an ALC permit. Recently unscrupulous painting contractor practices have been reported to the Patrol and ALC offices. Homeowners should be aware that soliciting of any kind is not allowed in our community. If a painter comes to your door, you should immediately report him to the Patrol office at 802-4937. Any contractor you hire, for your own protection, needs to be licensed by the State of Arizona.

 

Homeowners are strongly urged to call the ALC office with any questions concerning painting, or any other type of outside work you want to do on your property. We are happy to answer any questions you might have, and we are able to verify a contractor's license through the Registrar of Contractors website. Please avail yourself of our services before you enter into a contract to do painting or any outside work around your home.

 

The ALC office is open Monday through Thursday, 8am to Noon. Our phone number is 802-2776. We are here to help and will gladly answer any questions you may have.
