By using TransActPOS, you can eliminate the hassle of creating a quote for a customer, making the quote into an order, ordering the items from a vendor, and/or during this process, ringing additional non-order items along with the "to be ordered" items. TransActPOS makes this process very simple by allowing you to, with the click of one button, change from one thing to another while retaining all the entered information from step-to-step. This process is known as SO2PO (Sales Order to Purchase Order).
To create a quote, go to the SO module and click on Create Quote. In order to create a quote, you must select a customer. Once a customer is selected, click on the Detail tab to enter items to be quoted. If you have Enhanced SO2PO checked in the Company Setup, you can alter the description, price, PO# (if it is a block PO, blanket PO, or existing PO), and other information to make sure the quoted items are the EXACT item the customer is wanting.

Once all of the items are entered on the quote, click Save Ticket (F2) or Save at the bottom to save the quote. You may print it for the customer by clicking on Print Order in Options 1 in the bottom left hand corner.
Converting a Quote to a Sales Order
When a customer walks in and wants to make an order out of an existing quote, you must first find the quote within the system. Click on Modify SO on the main menu of the SO module. Click on "Quotes Only" on the right side of the Find Sales Order screen to only search quotes.
Once the correct quote has been found, you can enter additional items or alter the existing items if the customer wishes to do so. Once the quote is complete, click on the Options 2 tab in the bottom left corner and click on Convert Quote. When you click on this button, two options appear: Sales Order and Order Pricer. Order Pricer is mainly used for contractors (setting in Company Setup). Clicking on Sales Order will instantly create a Sales Order with the number listed in the top left and the word "Quote" will disappear from the bottom, meaning it is now an order.
*One final thing to remember is that when you convert a quote to a sales order, there is an effect on inventory. You are adding units to the "allocated" bucket in your inventory file. |
