Taking Physical Inventory: Part Four

Last week, we looked at the process of reviewing the physical inventory done and posting the results to the inventory. If you missed it, click the Archive link above and check it out. This week, we are finishing up our four part series of "Taking Physical Inventory" by looking at two reports: the report shown during the posting process and the "ghost items" report. 

Reports
When you post the results of the physical count to inventory, we discussed viewing the report to double check the accuracy of the physical inventory performed. On this report, the far left column shows the item number of the counted item followed by the description within your inventory of that item. The next field shows the first on-hand at count which is the first on-hand when the item was initially scanned into inventory. Next, there is the last on-hand at count which shows the on-hand from the last physical inventory performed on the item. Transactions since last count shows how many have been sold since the last physical inventory. The next field should be the difference of the two previous fields (Current On-Hand). The Counted field shows the number counted on the current physical inventory and the Variance field shows the difference between the Current On-Hand and the Counted totals.

Finally, we are going to talk about the Ghost Items Report. This is found in IC | Reports | Ghost Item. This report shows items that have been missed during a physical inventory. When an item is added to the physical inventory job, it may not require a change in current on-hand BUT the system will indicate that the item has been reviewed. This report presents items that have not been entered or scanned in during physical inventory. Once this report is generated, the user can attempt to locate these "ghost" items that may have been placed in a wrong area of the store or may not even be in the store at all. Like most reports in TransActPOS, there are a number of filters and options to choose from before generating the report. For more information about this report, click the Help Center button on the main menu of TransActPOS and search for "Ghost Items Report."
