Taking Physical Inventory: Part One
This week, we are beginning a series of newsletters that will cover doing physical inventory maintenance. Physical inventory consists of using a wireless device to manually scan items and tell TransActPOS how much of each item is in your inventory. The first part of this process is setting up the job to perform the physical inventory.

Setup
To begin the setup process, go to Options | Wireless on the main menu of TransActPOS. On the Wireless main menu, click the first option (Physical Item Maintenance). Click the New button to create a new job. This will take you to a relatively blank Properties screen of your newly created job. The only fields that will be filled in automatically are today's date, the Status will be set to Active, and who created the job (whoever is currently logged in to TransActPOS).
To create the job, you first must select the type. There are two options for type: Count Only which will only count inventory items or Detailed which will count inventory items and record serial numbers. Next, select the default on-hand amount. This is the default number listed for items scanned in at the wireless level. The options here are Zero, One (1), and On-Hand. If Zero is selected, the item you scan will automatically be entered in with a 0 on-hand. This is the recommended setting as it requires you to enter a number for every item scanned, providing the most accurate physical count. One (1) will be entered in as a 1 on-hand (obviously you have at least one, you scanned the item itself). Each of these have their own uses, but it is up to you to decide which one you want. Finally, enter a Comment for the job so it is easily identified on the wireless unit. A good comment is maybe the department being counted or types of items to be counted. An example of a comment you could use is "A14" which means "aisle 1 4ft section." Once you have finished, click OK to save the job
Next week, we will look at performing the physical inventory on the wireless unit.
