Reporting with TransActPOS 

Over the past year, we have discussed reports in various situations. In the latest update version, you can now favorite specific reports and their options for easy access later on. Reporting is an area of TransActPOS that continues to be improved upon with every new version, whether it includes a new report, new options, or new features like the favorites. This newsletter is going to give an overview of some of the features dealing with reports.

Overview

Reporting in TransActPOS is simple. Within every module, there is a Reports button on the main menu. Clicking this will bring up the Master Report menu. This allows you to launch any report from any of the installed modules. To access a given modules reports, simply click the tab along the top of this window with the corresponding module name. Once this is done, all the reports for that module will be shown and can be selected.

 

Once a report is selected, the report will be brought to the center of the screen, allowing you to alter settings and filters for the given report. Most reports follow the same format: Options on the left side and filters on the right. The options on the left determine the type of report being run, date range of the report, and more. These will change depending on the report selected, but there are similarities. The filters on the right help in narrowing down your report results. These change depending on the report being run. For example, any report dealing with inventory items may have a filter for item ID, allowing you to enter a specific item ID to report on or a portion of an item ID to report on items with the given portion.

 

When everything is set for the report, click the Generate button. This will run the report and open up a few more options. Some reports have different options, but all reports have at least three. The preview option allows you to view the report before printing it out. The print option will send the report to the printer listed in your workstation settings. The reenter option allows you to change the report settings and rerun the report.

Data View

Some reports offer an option called Data View. This feature (first introduced in version 3.030), allows you to interact with the report data in a spreadsheet format. When you first click on the Data View button, you will be able to select or deselect report fields to show in the Data Viewer. By default, all fields are selected. Once the desired fields are chosen, click OK to proceed to the Data Viewer. This window displays the report in a sortable, column like format that is very similar to Excel. You may prefer viewing the data this way rather than using the Preview function, as you can sort the data. You can also click the Export button to save a spreadsheet file that can be opened in Excel. Once opened in Excel, you can further manipulate the data.

Favorites

Back in eNews #41, we discussed Report Favorites. Ever since then, we have added new functionality to this feature. Now, when you are saving the settings for a report favorite, the system will ask for the type of date to represent the "From" date when loading this favorite in the future. Once that is selected, it will ask for the type of date to represent the "To" date when loading the favorite in the future. These new settings allow you to create favorites that can be loaded at specific times of the month. For example, you may want to create a sales report favorite with the "From" date as the first day of the current month and the "To" date as the last day of the current month. This will allow you to load this favorite any time you wish to report on the sales for the current month.
