User Security 

In eNews #43, we discussed the new Multi-Unit Price tool from version 3.036. One important piece of information was left out of that newsletter. User Security is pivotal to your business running smoothly, as well as letting specific users access certain portions of TransActPOS. With a new feature as big as the Multi-Unit Price tool, access must be granted to users in order to be able to use it. In this newsletter, we will look at how to grant or deny access to certain parts of TransActPOS, add and remove users, and even place users within groups.

Users

Everyone who uses a workstation in your store needs to be set up as a user within System | User Security | Users. Establishing users allows for each employee to have their own log in ID and password and allows you to see who has performed what task at any given time. Setting up users also gives the administrator/manager the ability to grant or deny access to certain parts of TransActPOS.

 

Maintaining users is very simple. Once you click on Users in the User Security menu, you will be presented with a listing of all users currently defined within your system. To add a new user, click the New button. This will bring you to a blank Properties tab for the new user. Enter the name of the user, a User ID (generally you will want a scheme for creating user IDs, like the user's initials), and a password. Entering the user's email address will enable them to use the email server (if purchased) and clicking the Signature button allows you to customize a signature that appears at the bottom of every email this user sends. Once you are satisfied with the information, click OK to save this user to the user list. To assign a user to a user group, highlight the user and click the Groups tab. This will allow you to assign the current user to the defined security groups (see below).
Groups

From the User Security menu, selecting Groups allows you to create groups for your users to be assigned to, as well as grant/deny access to certain parts of TransActPOS. To create a new group, click the New button and this will take you the Properties tab for the new group. Enter a group name and begin to select users from the "All Users" list below. Once you select a user to put into the set group, click the right arrow (>) to place them in the security group. If you wish to put all users in the group, click the right double arrow (>>). If you need to remove someone from the group, highlight them in the "Group Members" list and click the left arrow (<). To remove all users from the group, click the double left arrow (<<).

 

Once the users are assigned to the group, click the Access tab to grant and deny access to parts of TransActPOS. Once on the Access tab, the list of functions that have access restrictions are listed in the "Secure Controls" list. Highlighting these functions will display the "Access Level" on the right. If this is blank, the user will not have access to the function. Clicking the drop down menu allows you to grant "Full" access to the highlighted function or "None" access. If you click All Full or All None, you will change the Access Level of everything in the Secure Controls list to the selected access level. Just remember that these access levels are affected the group that you selected on the list tab.
Security Options
The Security Options menu choice in the Security menu allows you to require a password for specific TransActPOS functions. Simply highlight the function in the Selections List and click the arrows accordingly. The single right arrow adds the highlighted function to the Require Password list while the double right arrow adds all functions to the list. The single left arrow removes the highlighted function from the Require Password list and the double left arrow removes all functions.

Using these security features will help make your TransActPOS more efficient and secure for all users and customers. For more information, click the Help Center button within TransActPOS and search for "User Security."
