Invoice Management
If any open invoice was closed and needs to be reopened, click Closed Open Invoices. This will present you a list of open invoices that have been closed. If you select one from the list and click the Select button, the open invoice will be available again for use. Another quick and easy process is reversing a payment on account. Select Reverse Payment and follow the steps laid out on the following screen. The steps are as follows:
- Select Customer
- Enter Beginning Payment Date (any payments made after this date will appear in the list)
- Click Find Payment
- Select Payment to Reverse
- Click Reverse Payment
Sometimes an invoice is created in error and needs to be voided from the system. By selecting the Void Invoice button, you can quickly and easily void an invoice in your system. Note, to void an invoice, you must be on the workstation the invoice was originally created and the void process must take place the same day the invoice was created. If you know the invoice number, you can enter it on this screen, verify the information from the entered invoice, and click Void Invoice to void it. If you don't know the number off hand, you can run a Print Invoice report from POS | Reports | Print Invoice. From here, you can view a list of invoices created for a specific customer within a given date range or by clicking the "Specific" radio button you can see the last created invoice number.
Edit Invoice Header is a helpful tool when a small error has been made on an invoice. Using this tool, you can change the Purchase Order number, Job information, Delivery Information, and more by clicking Edit and entering in the correct information. If you click the Reports button, you can view select reports pertaining to the invoice chosen. Gift Given allows you to add or modify the gift given information on the invoice. This is useful if the cashier forgets to flag an item on the invoice as a gift given to and instead of voiding the whole invoice, you can add that information to the existing invoice. Salesprsn (Salesperson) allows you to change the salesperson attached to the invoice/item(s). Comment allows you to add an invoice comment to the existing invoice (must be in Edit mode to enter text).
