Lookup By Tab 

Inventory is a crucial part to retail stores. It drives sales, monitors stock, and is used as a reference to the items being sold to customers. Having thousands of items in your inventory is great, but if there is no way to tie those items to the barcode being scanned at point of sale, it doesn't do you much good. Luckily, TransActPOS has a vast Inventory File that offers many functions that aid in making your inventory work better. One of these functions is the Lookup By tab. Within it are the links between item and barcode and without the information in this tab, you cannot monitor your inventory efficiently. In this newsletter, we will discuss what information is shown on the Lookup By tab as well as discuss ways it can assist in making your store more efficient.

Overview

In the Lookup By tab, there is a list of known reference numbers that are tied to each item. These numbers are what allow an item to be scanned or entered at Ring Sale and the correct item appearing on the invoice. For your convenience, the list on the left side of this tab outlines all references to the inventory item being viewed. Within the columns in this listing, you can view the selling unit of measure, reference number, vendor, ECatalog information (if applicable), purchase unit of measure (if applicable), and type of reference. A check mark in the "Prm" column notes that the number is the primary UPC code for this item. You can also view any pricing information on the right side of the screen in the Item Pricing window.

 

There are a few buttons here as well. The Add, Edit, and Delete buttons are for the list of reference numbers, allowing you to add new ones to the list, edit existing ones, or get rid of a number. The Cross Check button allows you to easily cross check the ECatalog based matching UPC code for the item. The Import button allows you to import a single column spreadsheet with UPC and/or SBC (Short Barcode) values.

Reference Types

There are five different types of reference numbers you can assign to any given item. The Primary UPC Code is used to denote the main UPC code for the item listed. There can only be one of these per item. When multiple UPC codes are used, one is set as the Primary and all others are set as "UPC Code." The Primary and Secondary Vendor Part Numbers refer to a specific vendor in your system. You can also set the purchasing unit of measure for these reference numbers as well. Lastly, a Short Barcode is used when you don't have much room on the price tag (jewelry). These can also be used as quick ways to enter in an item. For example, if you have items that are outside the store, such as lumber, ice, or propane, you need an easy way to enter these items at Ring Sale. You could have a sheet with barcodes or you could assign these inventory items short barcodes. In this example, a store sells 20 pound propane tanks outside their store. In the Lookup By tab, the store could establish a short barcode named "20Propane" and anytime this is entered at Ring Sale, the correct item will be brought into the invoice.
