Importing Custom Spreadsheets into ECatalog   

TransActPOS offers the ability to import items from a spreadsheet into the ECatalog of a vendor on your system. There are a number of formats you can choose from, but this newsletter is going to inform you on how to import a custom spreadsheet into the ECatalog. This ensures that any spreadsheet you are importing will be able to work within TransActPOS.

Step 1: The Spreadsheet

To begin the process, make sure you have the spreadsheet you want to import from the vendor in your system. Make sure the spreadsheet is in a location on your computer and named something you will easily recognize. Have this information written down before beginning the process for quick and easy access. Also, the spreadsheet must be a Microsoft Excel 5.0/95 Workbook format. To change the format, open the spreadsheet within Excel and click Save As under the File menu. From here, select "Microsoft Excel 5.0/95 Workbook" format from the "Save as type" drop down menu and click Save.

Step 2:

Next, go to IC | Maintenance and click Import/Export. Once you are on the Import/Export menu, click on Electronic Catalog. You will now be at a ECatalog menu that allows you to perform multiple importing functions for your ECatalog. The one we want to use is Import Catalog.

Step 3: Preparation

The preparation step is split into three parts. First, you need to select the Import Source. The list offers multiple formats, but for our purposes, we are going to select "Custom columns spreadsheet import" from the list. It should be at the bottom of list. Once selected, you can locate the spreadsheet on your computer by selecting the button next to the "Import File Location" field. Once the file is located, select the vendor from the list to import the spreadsheet items into. Once this is done, click Import.

Step 4: Column Definitions

The next screen is where the bulk of the work comes in. You must select the column from each drop down list that corresponds to the correct value shown. For example, if the SKU/Item ID is in Column B, select B from the drop down list next to SKU. Once all columns are assigned, double check to see what the "Sheet" is named on the Excel spreadsheet. If it is named something other than "Sheet 1," you must enter the name within the field in the lower left. Lastly, enter the row that the data begins and ends on in the fields in the lower right of this window. Some spreadsheets may have the names of the columns in Row 1 and the actual data starts in Row 2 (in this case, "Data Begins on Row" will need to be set to 2). Click Save to complete this step.

 

Note: These definitions are for THIS IMPORT ONLY. If you are importing multiple spreadsheets with the same layout, this step will need to be repeated for each spreadsheet.

Step 5: Import

Once you have completed step 4, the system will get everything prepared for the import. Once it is ready, the system will ask if you are "Ready to Import data?" Click Yes and the system will import the data from the spreadsheet and return you to the "Import Electronic Catalog Items" menu when completed. You can check your Electronic Catalog for any item on the imported spreadsheet to make sure the system completed the process as desired.
