Data View 

Reports are a crucial function of any retail location. They offer information about your inventory, customers, sales, and much more. With TransActPOS, not only do we make reporting easy, we offer a lot of useful tools that aid in the reporting process. We have discussed one of these features in the very first eNews publication (Drill Down). This week, we are looking at a feature that was added in version 3.034 that can really benefit your viewing of reports: Data View. Data View allows for an interactive reporting experience. You can choose the fields to show on the report, sort individual columns, and even export the report to a spreadsheet.

Inside TransActPOS

Reports in TransActPOS are located under a "Reports" button on the main menu of each module. No matter which module you select Reports under, you can change modules within the Reports menu via the tabs along the top. Our Help Center (WebHelp link in the left side bar) displays which reports offer the Data View functionality, as not all reports offer it. If the report does offer Data View, you can click the Data View button once the report filters are set and the report is generated. When you click the Data View button, you can select the different report fields to show up within the Data View window. Once the fields you want have been selected, clicking OK will show the Data Viewer.

Data Viewer

The Data Viewer within TransActPOS offers reporting in a column format that allows you to filter and sort the data within the window. The Data Viewer window and column size can be resized to view more information. Left clicking the column header will sort that column. Right clicking a column header will bring up the "Set Filtering" window. Here, you can set various filters to narrow down the results of a report. Multiple filters can be set, allowing you pinpoint accuracy in locating the information you want. If you search for "Data View" within our Help Center, you can view some helpful tips in filtering the Data Viewer. Another great feature is being able to Export it to a spreadsheet. Simply clicking the Export button will allow you to save the data as a CSV file which can be opened and edited within Excel.

Outside TransActPOS

Opening the exported CSV file from above in Excel or comparable software will display the same data you saw in the Data Viewer. The useful thing about this is being able to edit the document. These spreadsheets can be used to search your data by filtering, sorting, and performing Excel functions to provide quick answers. Note that any changes made in Excel does not change the values in TransActPOS. Certain areas of TransActPOS allow the importing of spreadsheets as well, allowing you to import the exact data you want. We offer some helpful tips with using spreadsheets within our Help Center. Just click the WebHelp link on the left and search for "Spreadsheets."
