Item Lookup
One of the many features in TransActPOS is the Item Lookup screen. This utility is used to locate items in your inventory. There are many ways to interact with this window and this week's newsletter is going to cover those as well as some options within the Company Setup.

Overview
The Item Lookup (or Find Item window) is opened by entering IC | Inventory File and clicking the Find button. When the window is open, you will see many buttons and options. For the most part, you will be entering an item number or portion into the Item Lookup box and pressing the Enter key or Find Now button. This will display the item(s) in the field below, along with the description, unit of measure, location, MSRP, Retail, Shelf (On-hand quantity), and class. Highlighting the item you wish to open and clicking the Select button or pressing the Enter key will open the file on that item. The Clear button will clear the numbers entered in the Item Lookup field and the Close button will exit the Find window and return you to the Inventory screen. You can also locate items on the Grid by selecting the Grid or Grid Rental button. This will open the Grid as it looks at point of sale, allowing you to select an item and open the file for that specific entry.

Advanced Search
If you do not know the item number and are having trouble locating an item via the Find Item screen, click the Advanced Search button. This mode allows you to search by other methods.
- Description allows you to search items by their description. In the Enter Description field, type a description for the item you are looking for (the fewer words, the more results you will probably get). Click the Find button to view the items that match the description you entered. The items in this list will have the Manufacturer number, item ID, full description, and retail price. Highlight the item and click Select to open the file for that item.
- Manufacturer allows you to find an item by the Manufacturer and/or Model number. The model number can be a portion of one if you don't know the entire thing or you can leave it blank and view all items by a specific manufacturer. Clicking Find Now will show a list of items that match the search parameters with many of the same fields that the previously mentioned find screens display. Highlight the item and click Select to open the file for the selected item.
- ECatalog allows you to find items within your Electronic Catalog. Within the ECatalog Find screen, you can search for items by entering the information in the top portion of this screen and clicking Find Now. You can enter information in multiple fields or a single field. The more information you enter, the shorter the resulting find list will be. You can also search by ECatalog description by entering a description in the Search Description field and clicking Find Word. Clicking the Clear button at the bottom will clear all values in all fields on this screen. To organize your find list, you can choose the Display Order by selecting the order you want in the drop down menu in the upper right. The results will be shown on the right side of this window.
- Add Item will open a New Item Wizard, allowing you to create a new item for your inventory. For more information on this, click the WebHelp link above and search "New Item Wizard."

- Item Find "Close" and "Only:" This option changes which checkbox is selected by default in the Find Item screen. On the Find Item screen, there are two checkboxes: Only Resellable Items will only find items that are marked as Resellable and Close Window on Select that will clear the find window after finding an item. This option, within Company Setup | Properties | POS Information 2, will determine which option is enabled by default. When unchecked, the Close Window on Select will be enabled and Only Resellable Items will be unchecked. If you enable the option, these defaults will be reversed (Close Window off and Only Resellable on).

- Max Items Before Find Prompt: When finding an item, you can enter the full number if you know it or a part of that number and let the system show all items matching that portion. The number set here will serve as a boundary for the amount of items shown. If you enter a portion of an item number and the system finds more items than the value set here, the system will tell you how many items the system found and will ask if you want to continue to the Find window. Depending on the speed of your system, locating thousands of items in your inventory could take several minutes.

- Auto-Find in Inventory Maintenance: Enabling this option will automatically display the Find window when entering your Inventory File. If this option is not checked, you must enter the Inventory File and click the Find button along the bottom of the window.
