Rental
The TransActPOS Rental module is an additional module that allows the renting of inventory out to customers. If you have this module, it is fully integrated into TransActPOS, meaning you can access it without opening a different program. Because of this, the Rental system is integrated into multiple areas within TransActPOS. Within this newsletter, you will learn about the benefits of using this rental integration in your store.
Customer Integration
To have a rental contract, a customer must be assigned to it. To get to the Customer File, click AR | Customer File. You can create a new customer within here or look up an existing customer to report on any rental contracts. There is also an option for customers to not allow any rental contracts for the customer in question. This checkbox is on the Main tab in the upper right corner entitled "No Rental." On the Reports tab, you can view various reports for the customer. Many reports in this area will display items from any rental contracts, but the only report dedicated to rental is the Rentals report. This report will show the contract number, date of the contract, and the items on the contract.
Inventory Integration
Also to have a rental contract, you must have rental items set up within your Inventory. To get to the Inventory File, click IC | Inventory File. If creating a new rental item, click the Add button and use the Add Wizard to create a rental item (for more information, click the WebHelp link above and search for "Inventory Add Wizard"). The most crucial element of creating a rental item is making sure the item type is Rental. After you are done creating the item through the Add Wizard, click the Edit button and change the Item Type to Rental and click Save. This will allow you to set up Rental Pricing for the item. To do this, click the Prices tab. Here, you can change the dollar amount for each of the rental rates, enter a deposit amount, cleaning fee, damage waiver, rental turn around time, grace period for the return of the item, and indicate if there will be a fuel charge and/or if you want to create a Service Ticket on return of the item (see Service Integration below). TransActPOS has various rental rates that allow for flexible renting for your customers.
Service Integration
If your system has the Service module installed, you can integrate your rental program with your service department. As stated above, there is a checkbox on the Inventory screen to create a Service Ticket on return. This will allow an easy and quick way of creating a ticket for the service department to get the rental item back in shape. A good tip for rental items is to have some instructions for the service ticket within the Notes section of the Notes tab on the Inventory screen. Any notes entered here will appear in the Work Description area of the service ticket any time that item is put on a ticket. Utilizing the check box to automatically create a ticket for the return will allow for a much quicker turn around time on the rental item, ensuring full profitability on the item.
