Jobs
Jobs allow the tracking of sales for a specific task. To setup a customer to use jobs, go to AR | Customer File | Accounting tab and click the Edit button. Check the "Use Jobs" box and click Save. You can now setup jobs for this customer by clicking the Jobs button. On the Customer Job Maintenance screen, click the New button. From here, enter a Job name at the very least (the rest of the information is optional, but could be very useful in making each job unique). Once the information has been entered, click OK to save the job in the system.
Different Sales Tax
Within System | Support Files| Sales Tax Menu | Customer Type, you can set up the Customer Tax Types for your system. Once these are set up, you can begin assigning different tax types to different jobs. To assign a tax type to a job, go into the Jobs list and click on the Properties tab of an existing job (or create a new one). From here, you can select the Sales Tax type from the drop down menu in the upper right corner.
Contacts
In the last newsletter, we discussed assigning contacts to jobs and the benefits of doing so. The first step is to ensure the customer you are creating/maintaining jobs for has contacts setup. These will be on the Main Tab of AR | Customer File. Once contacts are set, you can assign them to jobs. To do this, click the Contacts button within the Properties tab of any given job and check the boxes to the left of the contact(s) you wish to assign to that particular job.
Posting Payments
When posting a payment via POS/AR | Payments | Pay on Account, you can apply the payment to a specific job. Once the customer is found and the payment amount and type is entered, you will see the Payment on Account (Application) screen. To apply the payment to a job, click the Select Job button. This will bring up the listing of jobs for the customer, allowing you to select the one you want. Once back on the payment application screen, the list of invoices will be filtered to invoices applied to the job you selected previously. From here, you can apply the payments Automatically or Manually as you would normally.
Open Invoices Report
To view the account charges that haven't been paid yet, go to AR | Customer File | Reports tab | Open Invoices and Generate the report. When you Display/Print the report, you will see all open invoices separated by job. This will show the invoice number, due date, invoice amount, and more. With the new Drill Down feature from version 3.034, you can click the invoice number and view an Invoice Summary on that specific invoice.
Job Reporting
At any time, you can report on purchases made on jobs. To do this, bring up the Jobs list and click the Print List button. This will allow you to report on all jobs in the list. If you want a list of the jobs with purchases, change the option to "Jobs with Purchases." You can also report on Active jobs only or all jobs including inactive ones. Once the desired options are selected, click Generate and Display/Print the report. If you wish to report on only a single job, click the job, click the properties tab, and click Print Job.

Jobs can be a versatile tool when using all facets of the system. For more information, click the WebHelp link along the side and search for "Jobs Overview."
