You may have noticed two options available for the Candidate section and have probably wondered what the difference is. The simple answer.. a lot! Read on for a few more details.
I understand that not everyone is going to use the Candidate section. If you do placement that doesn't require moving through the process of resume review by the Customer and scheduling interviews, then you may not have used this before. However, I would suggest at least checking it out. Even with staffer selected placements, you still may want to know who has been considered for the order and what status they are in (Employee Refused, Not Available, etc.) Check out this past tip on Candidates for more information.
Once you have decided that you are going to use the Candidate section (hint hint) now you need to decide if Candidate or Candidates is going to be better for your needs.
Candidates is generally found in the Temp Order. This will allow you to place candidates on a specific order, track their status, quickly view a resume or jump to their employee record. It's a great feature that doesn't require a lot of know how or set up. What I love is the ability for anyone; fellow staffers or managers to take a quick look and know exactly what's going on with the order. Remember this screen is a basic search screen, thus you can sort and filter information. It's also really easy to assign Employees right from this screen. Don't forget about the Field Chooser to allow you to see the fields that are most important to you.
Candidate is generally found under the DH Order. It offers all the same functionality of Candidates and a bit more. Note the screen layout is different, a split screen allowing you to view the Candidate (when selected) with their pertinent information below. Send email, create a message or place a candidate on the order without leaving the screen. I also like the ability to place candidates in "buckets" or statuses. At a quick glance quickly see how many candidates are attached to the order and how many are in each status "bucket".
Another great feature of the Candidate screen is the ability to email resumes and other information directly to the Contact on the order.** This is done through Options located to the far right of your screen. You will need to have a Contact set up for the Order with an email address. A screen will appear asking what you would like to send creating them as .pdf documents. Your email will open allowing you to write a message and send to your contact. This email communication will be saved in the Message section.
**This will require that you have email set up in Avionte, either Outlook or SMTP.
Now, for the really great news, you can choose which of these you want to use. Located under Admin Tools you can decide for each User or Group which one they can see/use. Select Front Office, then Order, and then choose if you want to see Candidates or Candidate. You can do the same for the DH section.
