TRANSITIONING  
YOUR PTA

In PTA, we often hear the word "transition" during this time of year. Transition is a process of moving from an outgoing to an incoming officer or chairman. It is a time of change; the time to finish a job, prepare to hand over materials for the person following you.

 

This process is important and should be taken seriously by all board members. Good transition from one board to another or one officer to another can make a significant difference in the future of your PTA. The process of transition can be divided into two equally important phases:

 

Finish your current job!

As we prepare to end the year, let us not forget to complete our current duties. This should include a final report or thorough preparation for audit. Rather than "winding down" as our term ends, let's finish with a flare!

 

Prepare your procedure book.

A complete procedure book is essential for a successful transition. A procedure book could be a "USB" drive, "CD" or actual book. This information provides a history of your office or position and tells how you did your job. Write down job procedures and include all reports. Clear out information that isn't relevant.

 

 Some documents are required to be held for a number of years for tax purposes. Check our website, under "Running Your PTA" for the Records Retention Schedule.

PRESIDENT'S MESSAGE
 
 

Dear County Council and Local Unit Leaders,

 

February is a great month to start reviewing your bylaws to make sure they are current and are being followed. With election meetings approaching, have you elected your nominating committee? Do you know what month you are to hold your end-of-the-year election meeting? Are you reaching out to potential leaders and inviting them to join your board? Have you been sending in your dues monthly to the state office? Now would be a great time to review your budget and to make sure you are in line with it.

 

With Florida's Legislative Session opening on March 4th, do you have a Legislative Chair or designee on your board to follow Florida PTA and National PTA's legislative activity? Are you sharing this information with your entire membership? Florida PTA is transitioning to a new Action Alert system to make communicating with your legislators easier and more accessible.

 

As a leader of a County Council or local unit, we encourage you to check our website for weekly updates on legislative bills that pertain to the health, safety, and education of all children. This year's session looks as though it will be very challenging for Public Education funding and programs. We will need you, as members, to do your part and continue to advocate with one loud voice on behalf of all children.

 

There is still time to register for Florida PTA's Legislation Education Conference, March 16-18, 2014, in Tallahassee. We have secured guest speakers and planned workshops to involve you in the legislative process and keep you up-to-the-moment on crucial legislative issues. DEADLINE TO REGISTER IS MARCH 3, 2014. You can register on Florida PTA's website www.floridapta.org.
