What You Should Know about 1099 Form Printing

Now that we have turned the corner on another new year, it may be time for you to fulfill IRS regulations regarding 1099 Form printing.   

 

IRS approved stock forms are readily available for purchase in order to report Rents, Royalties and Other Income.  With each new year, there are invariably changes in the layout of these stock forms.  In order to enable you to adapt to these changes, DemandBridge provides a program called Flexible Formatting. This program allows you to set the print positions for each of the applicable fields.      

 

In past years, many of you may have printed continuous 1099 forms on impact printers.  Of course, this is still an option.  However, now that most of our customers have fully converted to laser printers, we wanted to take some time to provide you with the information you need to print 1099 forms on laser printers.   

 

The first image shown is the flexible format that we tested for use.  Use this as a guide.  You can click on the link provided to see an example of the printed output.  Note:  In our example, we changed the line number for the City, State and Zip to line 19 when printing Copy B to better align with the box provided.   

 

There is a new feature that allows you to designate how many 1099 forms print to a page.   Use the Options Field to enter F2 for two forms to a page. 

 

To print 1099 forms to a laser printer, you will first need to print to a PDF Print Device as an intermediate step. Be sure to enter the Job Options exactly as shown for this step. You will then print the resulting PDF file to a laser printer using your favorite PDF Reader.    

 

When you actually print the PDF to your local or network laser printer, make sure that scaling is turned off.  We also recommend that you print two or three pages as a test before loading your forms, and make absolutely certain that you don't update your 1099's until your have successfully completed printing all necessary copies.

Below is a Flexible Format that you can use as a guide.  It has been tested with this year's stock form for 1099-MISC to report payments in the Other Income box.
You can adjust the line number for field number 008 to report other types of payments.
