   OCTOBER 2011 SESSION NEWS and UPDATES

Greetings!

 

Please review the information provided below carefully. This news edition is designed to keep you informed about the latest on planning for the upcoming Annual Legislative Session.  

 

A big thanks to our new October 2011 Session Volunteer Coordination Team, Seema Jaffee (Santa Clara County) and MaryAnn Miller (Sacramento County). Seema and MaryAnn have already jumped in and are actively contacting potential volunteers, following up with volunteers who are new to CSL, and reviewing volunteer positions and session assignments. We all extend our deepest appreciation for their help and expertise!

 

We are looking for a CSL member or a friend of a CSL member that is interested in volunteering to contact and manage potential sponsors of the "Back of the Room Tables" also known as "BOR" tables. These are tables for organizations and businesses to promote their services and products during the evening banquets on October 24, 25, and 26 held at the Hyatt Regency Hotel. See the Letter of Invitation and Information Table Form here for more information. The office will work closely with the BOR Tables Volunteer and support all efforts. Don't forget to take an advertisement in the October 2011 Program Session Book. The Ad Form is also available on the www.4csl.org  web site. Please do not send cash to the office because they are unable to process. A personal check works very well. Joint Rules Committee (JRC) Meeting

The JRC will meet on September 12-13, 2011 from  in Sacramento. The September Meeting Agenda is available here and also on the web site at www.4csl.org.  

 

The JRC meetings are held in barrier-free facilities in accordance with the Americans with Disabilities Act.


Important Notes on Annual Session Planning     

 

We discovered a few errors in the letter that went out to members dated June 22, 2011. Check out the latest and most accurate information below. We are updating our Frequently Asked Questions (FAQ) section in every Session Update and News Edition.  

    

Lodging

Call the Hyatt Regency located at 1209 L Street in Sacramento.  You can make your reservations  by calling 1-800-233-1234 and be sure to mention code G-CASE to receive our discount.  

 

CSL has reserved 90 rooms. A very limited number of rooms are available for early arrival (Sunday evening, October 23rd). You will need special approval for early arrival from the Chair of the Joint Rules Committee. This is required in order for reimbursement. Call Crystal Wallace at (916) 552-8056, to help with that process.  

 

You have until October 1, 2011 to reserve your room. The rate is only $84 plus applicable tax for both single and double occupancy rooms this year at the Hyatt Regency. 

 

Members will be reimbursed for expenses, such as lodging.    

 

**If you are having trouble reserving a room at the Hotel - please call the office so that we can help resolve any problems.      

 

Transportation   

Airport transportation is available via Super Shuttle for approximately $14.00 one way and $28.00 round trip.  You can call 1-800-BLUEVAN for details and more information.

 

Parking  

Self parking is $17.00 and Valet parking is $25.00.  As always, receipts will be needed for reimbursement.

 

Frequently Asked Questions

 

Q- Where and when is registration held?

A- Beginning at 9:30 am - 1:00 pm on Monday, October 24th on the fourth floor of the Capitol Building as usual. 

 

Q- If I don't attend one of the Dinner Banquets scheduled on October 24th, 25th and 26th, can I still be reimbursed for dinner expenses somewhere else on those evenings?

A- No. The Banquets are arranged as part of the Session and for CSL member's benefit. You are not required to attend, but you will not be reimbursed for the evening meal at another location.

 

Q- Can the CSL office book my airline reservations?

A- Yes, please contact Crystal Wallace at (916) 552-8056 to reserve your flight.  

 

Q- If I reserve my own air flight, can I use a company like Priceline or one like that?

A- No. State Rules dictate that you cannot use those kind of companies.

 

Q- Can my spouse come to the Session with me?

A- Yes, but their expenses CANNOT be reimbursed.  However, if your spouse would like to volunteer, they will get free lunch and free banquet dinners for every day they volunteer.  

 

Q- Can I share a room with another member and be reimbursed?  

A- You must have a RECEIPT IN YOUR NAME for your portion of the room in order to be reimbursed according to state rules. DO NOT walk away from the hotel reception desk until you double check the name on your room receipt.

 

Q- How do you volunteer to help at the session?

A- We love volunteers! Just fill out the Volunteer Response Form Be sure to fill it out completely and send in by August 26, 2011.

Honoring Volunteers at the Annual Session

 

The Moira Jackson Award and the Special Volunteer Recognition Award nomination forms were mailed out on June 22, 2011 as part of the October 2011 Session information packet. Please take a few minutes to consider nominating an outstanding CSL member for one or both of these awards. Nomination forms are due August 19, 2011.  You can mail in your nomination form, or FAX your form to (916) 552-8013.
