We all have the best intentions of keeping our email inbox spic and span. But before we know it, we're inundated with messages and are left watching helplessly as our storage space disappears. Not only can an out-of-control inbox take up unnecessary space on your server, it can also decrease your productivity by making you feel frazzled and disorganized.
Try using these 4 strategies to keep your inbox clean:
- The 2-minute rule. If you can respond to an email in less than 2 minutes, do it now. You'll thank yourself later.
- Delegate. If you receive a message that's really someone else's responsibility, respond and copy the person to whom you are delegating the message.
- Delete, Delete, Delete. Most of the messages in your inbox can be deleted. If you don't need to read them, delete them...immediately.
- Flag. If you cannot reply in less than 2 minutes, delegate the message to someone else or delete it, flag it for later. Use this option sparingly and remember to set aside time to revisit flagged messages.
