Complacency is the enemy.
 
When someone has a job where they do the same tasks day in and day out, eventually they'll think they 'know' the process and start to do it by rote.   

  

When work is done by rote (or unconsciously) the mind wanders and without realizing it, steps are missed, corners are cut and job quality suffers.

 

Sometimes, without realizing it, employers actually encourage complacency in their people.  How? Through inadequate training. When a new person is hired, typically someone will show them around and show them what to do in their job.

 

It doesn't really matter what kind of job it is, usually someone will teach a new hire how to do whatever is required for their specific position.

 

robots The problem is, rarely does anyone ever educate the new employee about WHY they are doing what they're doing.  Or HOW their work impacts the next person, the company or the company's clients/customers.

 

You see, mostly we train people to behave like robots.  Not intentionally, but that's where we end up.  Robots don't need to be conscious in their work.  That's not to say they don't do an adequate job, but often they do the same thing, day after day, without thinking about it, often without being able to recognize (or care) if there is something wrong, and usually without any 'buy in' for the success of the company for whom they work.

 

To combat complacency and to cultivate better employees, it is necessary to take the time to explain the reason you hired him or her in the first place.  

 

owl The first thing to educate employees on is: "Who is my customer?"  In reality, every person the employee works with is their customer.  That most often does not mean the ultimate customer of your business, but the person who comes after the employee in the process.

 

The second thing to educate employees on is:  "What are the inputs and outputs of my job process?"  In other words, what prompts you to do your job and what happens after you complete your task for the next person down the line?  Something triggers an employee to do their job (receipt of goods, paperwork, task list) and someone else receives the benefit of the job they just did.  It's a circle... trigger work, do work, trigger work for the next person.  These triggers need to be explained.

 

Why Finally, the most important thing to educate new employees about is: "WHY am I doing this job".  What benefit is there for the job I was hired to do?  How does it impact the employer?  How does it impact the next person in the process? How does it impact the company's ultimate clients/customers? The employee needs to clearly understand how the quality of the job they do can positively or negatively impact the next person in the process. 

 

When employees understand these three simple things, they will consciously make better decisions.  They will feel more 'buy in' for the company and will be vigilant in their job routine because they will know how it affects everybody else.  

 

Often, because we're so busy, we don't make the time to spend educating people about their job inputs and outputs; we just think 'get them working and we'll educate them later' but the lack of adequate training during the hiring orientation will hurt you in the long run.

 

teamwork When your employees are fully trained, not just in their job process but in all these other ways, you will find your employees are conscious, committed and that they actually want to help you reach the company's goals no matter the type - revenue, growth or community outreach.  

 

Most importantly, you will have better morale because employees almost always take more pride in the job they do once they fully understand why they're doing it.   

 

Avoid complacency (or the possibility for complacency) - train your employees correctly from the moment they walk through your door....

Our Favorite Things...

Asana Task Management 


logo asana One of the banes of any business are the countless details that pop up on any given day.  How do you keep track of them?  Do you find yourself creating task lists for your employees?  Manually?  Or do you find that you lack visibility to what your employees are doing?

 

We had that problem too but even more so in that our
clients often call me for things they need their Concierge to do.  While this is great and clients are welcome to call either myself or their assigned Concierge at any time; my issue is that their action items are stuck in my head
taking up space until I find out they are done.
 
asana laptop To automate and streamline our 'to do' lists for the entire company, we are now using Asana (www.asana.com).
   
Asana is a free shared task list for our team. It's the place we use to plan, organize, and keep our 'to do' lists in sync.

 

Asana works similar to Google Calendar, another group application we use.  With Asana, we can assign a task to one of our people and/or can mark it off when we know a task is complete.

 

asana task list Likewise, each employee can add and manage their own 'to do' lists and we have visibility to them as well.  One of the really nice benefits is, just like with Google, Asana will email the next days' task list for your review.  Plus, being a web application, Asana is available to our people via their iPads while they're on the go! 

 

Asana seems to be a fairly robust application with far more capabilities than just simple task management, but that's all we need for now.  If you too would like global visibility to your employee's task lists, take a look at

Minding the Business of Your Home....

 

The business of readying your home for season is no simple task.  Each of your homes are different and each of you use them in different ways.  Later on this month we'll be sending out a reminder check list of those items you might want to consider having us do before you arrive. 
Some examples:
  • Housekeeping
  • Window Cleaning
  • Service AC units
  • Pest Control (if not already in place)
  • Tree trimming, lawn scalping & overseed
  • Power Washing of the exterior of the home
  • Power Washing of the patios, walkways and driveway
  • Carpet Cleaning
  • Tile cleaning (interior and/or exterior)
  • Golf cart service
  • Upholstery cleaning (inside and patio cushions)
  • Have your BBQ grill cleaned
  • Change out smoke alarm batteries
  • Install CO detectors (it's the law in CA)

Movies, Movies, Movies...

Regal Sometimes we need a break from business - and when we do, my favorite thing to do is sneak out to the movies every once in awhile.   

 

Going to the movies is expensive these days, but we have a few ideas on how to make your movie going experience a little more affordable.

 

1.  Discount tickets are available at Costco all the time.  They run about $15 for two, which is almost half as much as going during a premium time.  For sure you can get Regal and there might also be Cinemark. 

 

cinnemark 2.  Johnny Rockets, in Rancho Mirage, offers discounted tickets for the Cinemark theater at The River.  Their 'Dinner and a Movie' promotion requires you purchase an adult meal and you can purchase show tickets for $7.50 each.   

 

3. All Regal theaters offer an AARP discount - not on the tickets, but at the concession stand.  Ask for the AARP deal and you'll be asked to show your card.  Once it is verified, AARP you'll get a small drink and popcorn for just $5.50 - that's almost half price!  Given the AARP membership is only $16, it will pay for itself in just three visits!  For $1 more, you can upgrade to large!  Such a deal!!!  

 

4.  You might also try your AAA Auto discount card - often you can get a discount on tickets with it.

Creating Balance in Business...

 

Often we are so focused on work that we forget to maintain balance.  As you plan each week, make sure to include time for each of the following so you can strike a healthy balance between work and home:

 

  • Fitness - Exercise aids positive, creative and clear thinking - and your health. (and nearly all the wealthiest people make time for it) 
  • Food - Don't skip meals and select from a balance of life is good food groups opting for unprocessed, fresh foods that will fuel your brain and your body.
  • Family - Be sure to include plenty of quality time with your family - the people in your life are all that truly matters.
  • Friends - Schedule time for your friends - never be too busy or neglect them - not only do you need their support but friends feed a part of your soul that can't be fed in any other way.
  • Fun - Think and be positive. All too often we leave fun as the last thing on a long list of tasks.  Laugh. Be silly.  Enjoy your life - the years fly by all too fast.

The House of Hope, a substance abuse recovery facility, has a new website which is now available for review at

 

There are four ways to help support House of Hope including our new Community Giving Campaign where there is a goal of getting 1000 people to commit $10/month in order to help the House become self-sustaining and to be less dependent on the Riverside County subsidy that threatens to go away every year. 

 

give monthly The House also accepts one-time donations and gift cards to help defray the cost of books for the clients, office and cleaning supplies, groceries, gas and other daily essential needs.  These gift cards may be for Walmart, Staples, Vons, AMPM (gas) or Target (or any other local store)

We have two new employees bringing our total employee base to three!  We are so excited to have these wonderful people working with us.  Mary who already has 3 years with us, assisted in the training for the other two, Lori and Kim. 

Lori
has many years of home maintenance and logistics experience as well as a significant amount of charity work under her belt. Kim was a general contractor building homes in Washington State before relocating full time to the desert and she also has interior decorating skills. We are so excited to have such a knowledgeable and talented team!  Welcome!

In June 2013, I (Leslie) was appointed to the Board of Directors for the International Concierge and Lifestyle Management Association (www.iclma.org) This non-profit organization has several hundred members in 24 countries around the world.

We've enjoyed a serious amount of growth over the last ten months.  Incredible, really.  Along with this growth came a lot of juggling, reworking of processes, growing pains and analysis to see what needed to change or adjust to the new volume of clients and client requests. 

 

Our primary concern is always:  How do we maintain the same level of quality we offered when we had just one client?  We strive to treat every client like they are our only client.  This takes a huge amount of commitment and attention to detail and as we grow it becomes ever more important to automate processes, avail ourselves of technology and to put into place the procedures and policies necessary to insure continuity and consistency in every aspect of our business.

 

focus Some things have taken a back seat during this period of growth and change, including the publication of this newsletter, but we added two new quality people and we have redistributed and better balanced the clients so we're finally in a place where we should be able to resume the tasks that were set aside.  That includes producing this newsletter on a regular frequency once again (and thank you to everyone who's been asking - "where is it?").

 

We've had procedures since day one, but it is during the training of new employees where you identify holes in the process or realize there was tribal knowledge that now needs to be documented.  It is imperative to avoid complacency and for a business like this where we do the same client homes week after week, it is vital that there are fail safes in place to insure consciousness and attention to detail for every single visit and every single task.

 

home balance And while staying conscious for business is critical to the success of the company, the single most important thing is to remember we all need balance.  Because without it one can burn out, be overwhelmed, lose interest or worse.   

 

We should all do whatever it takes to recharge our mental and physical batteries whether that means to play hooky one day and go to the movies or schedule in time for exercise (or as in Mary's case, ballroom dancing - and she's quite good!).

 

We should make time for charitable activities because that's good for our soul.  And above all else we must spend conscious and focused time with our family and friends because at the end of the day, it is futile to build a better business if we have no one with whom to share it....
