Feature Article: Responsible Corporate Electronics Management   
 

Electronics are ubiquitous in today's business world. There are some obvious examples: IT hardware; wired and mobile communications devices. But there are also some less obvious examples: "embedded" electronics in HVAC and building management systems; inventory management systems and devices (e.g., scanners, robotic lifts); power management systems and related devices. Finally, there are highly-specialized examples, such as medical devices, which we aren't really covering here.

  

Responsible management of all of these electronics is a core aspect of sustainable business practices. From a sustainability standpoint, electronics present significant environmental concerns, primarily because they often contain "substances of very high concern" (SVHCs) and other materials that are known to cause environmental damage (and potential human health impacts). In addition, electronics are significant energy consumers and their energy consumption impacts the output of climate-altering greenhouse gasses.

  

Often, we hear talk of "reduce, reuse and recycle" when it comes to responsible resource management. But it's pretty hard in today's world to materially reduce the amount of electronics in a business setting. And reuse by the end user is pretty tricky, given the pace of technological innovation (although much of "recycled" electronics is, in fact, reused). So what's a good strategy for managing business electronics in a responsible fashion? There are three key elements:

  • Start with sourcing electronics that are known to have reduced environmental impacts throughout their lifecycles: fewer SVHCs, less energy consumption, backed by an end-of-life recycling program. So even if your company's overall volume of electronic devices increases, the total environmental impact will not increase to the same degree.
  • Proactively manage the energy consumption of electronics. Train electronics users about minimizing energy consumption (e.g., "turn your computers off at night"). Use technology to minimize "phantom" energy consumption (energy consumed when devices are in stand-by mode).
  • Ensure that stand-alone electronics are covered by manufacturer-sponsored take-back programs or can be responsibly recycled through third parties (embedded electronics pose a real recycling challenge). Businesses usually cannot avail themselves of local/municipal recycling programs, so ensuring that there is a commercial conduit for the return of used electronics is essential. In many jurisdictions, you will be heavily penalized for tossing electronics, so do research on local disposal laws.

This enterprise-level strategy needs to be backed by documented, clearly understood tactics at the operational level. And there should be a set of metrics associated with the strategy that allow for both required documentation (for any legal or standards compliance) and continuous improvement. Track such things as percent of acquired computer hardware that is EPEAT certified, number of used handheld devices returned annually for recycling, percent of electronics devices connected to "smart" power sources.

 

This may all seem like a lot of work, especially in a large enterprise. But because electronics come with a sustainability "double whammy" - energy consumption impacts and toxic componentry - it's essential that businesses manage their electronics resources in a responsible manner.

Ideas You Can Use Now!
Responsible electronics management requires tactics and metrics that support a well-defined strategy. Here are some ideas about how to get started and keep a program running:
  • assemble a cross functional team to oversee your electronics management program. You'll need people from procurement, engineering, IT, operations - at a minimum.
  • purchasing has a big role to play here, so they need to become educated about what resources exist for buying responsibly. There are many resources out there, including a good knowledge base at the Electronics Industry Citizenship Coalition (www.eiccoalition.org).
  • inventory all stand-alone and identifiable embedded electronics in your enterprise. You might be able to do the stand-alone portion by consulting your asset management system. Then prioritize this inventory by spend, known environmental impacts and/or ability to easily manage impacts (e.g., easiest to recycle). That gives you a roadmap for your work
  • have your team develop metrics to track your management protocol. Some of these metrics might revolve around regulations or standards (e.g., local environmental regulations re electronics recycling), so you might want to get outside help for that.

Much of this is intuitive or, hopefully, might mirror other resource management protocols you have in place. Yet, there's significant complexity with electronics that you might not find elsewhere. The good news is that, at least for stand alone electronics, there's already a great deal of work done in understanding the environmental impacts and plenty of work done on ways businesses can minimize the impacts associated with their acquisition, use and disposal of electronics equipment.
