Enhancement to security on uploading documents

 

Security of your SMSF audit is very important to us. When you log in to our system by using your user name and password, the system authenticates the connection with you and creates a log file. For key exchange mechanism we use AES_128_CBC.

 

The Advanced Encryption Standard (AES) is a specification for the encryption of electronic data established by the U.S. National Institute of Standards and Technology (NIST) in 2001. AES has been adopted by the US government and is now used worldwide. The algorithm described by AES is a symmetric key algorithm, meaning the same key is used for both encrypting and decrypting the data.

 

In the United States, AES became effective as a federal government standard in, 2002 after approval by the specification board. AES is now included in the ISO/IEC 18033-3 standard. AES is available in many different encryption packages, and is the first publicly accessible and open cipher approved by the National Security Agency (NSA) for top secret information when used in a NSA approved cryptographic module.

 

We use Comodo SSL certificate for AES to secure online transactions when you log into your account. This means that your connection is encrypted and whatever you do on an audit file is secured by 256 bit encrypting.Any data you submit to this website over https connection will be securely encrypted with the strongest available algorithms.

 

The Comodo SSL certificate used by us carries a US $250,000 warranty to further protect our customer purchases, when you enter your credit card details to purchase audits packs from us. Comodo's unique 'point-to-verify' technology shows real time verification of our business credentials and Comodo's warranty whenever you hover your mouse cursor over the seal. 2048 bit signatures and up to 256 encryption mean an SSL Certificate offers the highest possible levels of security for you. Our dedicated server is hosted by the same ISP who hosts Queensland government servers. Your audit files and documents are very safe online with us.

 

 

Uploading documents

 

Before this enhancement, any document which was uploaded by you was checked by the virus scanner installed on our dedicated server (similar to what you may have installed on your stand-alone computer) and any infected files with virus were rejected by the server and deleted. As this activity took time, we scheduled this activity scanning process overnight, when there were few users online.

 

We have now further enhanced our security feature for uploading documents. Changes to scanning documents are made in the instances, when ;

  1. Partner, Auditor or Staff upload any documents in the audit working papers section in Tab A to Tab G;
  2. Accountant or their staff (associates) or Trustees upload documents for current year or the year where the audit is not complete;
  3. Accountant or their staff (associates) or Trustees upload documents for any previous years in "Prior Year Audits" Page, where the audit has been completed.

 

 

How scanning of document works?

 

We have now installed a special Mac Afee security software to scan all the files as soon as they are uploaded by you. The system of uploading files has now changed, please read the following points:

 

  • Uploading of documents time will depend on how your computer is connected to the internet, your internet upload speed provided by your service provider and the browser you use to upload documents.
  • We have tested our document up loader with all the commonly used browsers (e.g. chrome, safari, internet explorer etc.) and have found similar time results as long as it is the latest version. The best result was with Google Chrome.
  • If you are connected to the internet with a WiFi connection, it will take approximately 20 seconds to scan and upload a single file of 1 MB size. A wired connection will take about half this time and an NBN connection will take only a few seconds.
  • It is advisable not to up load more than 5 files at any one time.
  • When scanning is completed, the system will advise you on a pop up window; please do not refresh your screen while the system is scanning and uploading file.
  • If a file is clean, it will be uploaded and you will see a green tick on the file name in the Drag & Drop up loader box and the file will be displayed in the table below the Drag & Drop up loader box.
  • If the file is infected with a virus - the file will be deleted from the server and will be marked with a red cross on the file name in the Drag & Drop Up loader box. It will not appear in the table below the drag and drop up loader box.
  • If you cannot see our Drag & Drop up loader box, it means that you are using an older version of the browser, or a browser which does no support drag and drop feature. We suggest that you upgrade your browser or use one of the browser which is commonly used.
  • If your browser does not show you the Drag and Drop up loader box, you will still be able to upload files, but only one at a time. After uploading the file, the screen will refresh itself and this process may take double the time to upload which is approximately 40 seconds to upload a 1 MB file.
