Which of these three scenarios best matches your typical work day?

1.  The day flies by in a rush of e-mails, calls to return, emergencies and last minute "must-do" tasks.

2.  The minutes drag as I sit through too many meetings, read tedious reports and deal with a mountain of e-mail that has little to do with my responsibilities.

3.  I got one important task done and made progress on another. I delegated some work and put some items on my list for later. Despite some interruptions, the day was productive overall.

Wouldn't we all like to have Number 3 describe our typical work day? Instead of wishing for an easier life at work, try some of the time-management strategies recommended by top experts.
What do the Experts Say?

Sources that range from The Harvard Law Review to the Small Business Administration encourage many of the same  habits. Here are some of the top recommendations.

Set goals and focus on them

Short term goals might include what you want to accomplish by the end of the day or the end of the week. Long term goals typically tend to be on a larger scale. No matter what your goals, it helps to write them down. Then home in on those goals with laser-like focus.

Set priorities

With your goals firmly in mind, setting priorities becomes easier. If a task is essential to meeting your goal, it shoots up to top priority.  Time-critical tasks also take precedence. All those "other" things cluttering up your mind can drop to the bottom of the list.

Schedule your time

Setting a deadline for yourself helps focus your mind and motivates you to get a task done. When distractions come up, you can brush them off more easily because you must meet the deadline.  Challenge yourself to get a routine task done faster, until you can do it in record time.

Organize

Being disorganized hurts productivity and reputation. Lost files, out-of-date reports and missed appointments mean time and effort is wasted on re-work and re-scheduling. These lapses also make you look sloppy and unreliable.  Create systems for yourself to organize your work. There are entire books written on the subject and many apps and tools that can help you.

Delegate

Talented, hardworking people often make the mistake of doing too much themselves. Going back to your goals and priorities, figure out what can be assigned to someone else. Can a junior team member take over some routine tasks? Perhaps an  outside expert can take a load off your shoulders. The point is to free up your time so you can concentrate on your goals and priorities.
