Industry News:
KEEPING TRACK OF GAGE MANAGEMENT SOFTWARE
by Leah Pickett, Associate Editor of Quality Magazine

"With so many different calibration management software products on the market, choosing the best one for your business could prove challenging. First, one must assess basic company needs. Is only an inventory of gages needed, or do you also need the software to perform other functions, such as conducting gage R&R analysis? Do you need the software to integrate with other systems, or can it stand alone? Next comes the further evaluation and selection of features; for example, is the ability to create customized reports or generate work orders within the software important to you? Finally, and above all, is the matter of results. Will this software help your company better manage workload, minimize overtime costs, and maintain production schedules, while also meeting and upholding the standards required?"

What is a Trigger Code and how do I get one?

A trigger code is a unique code number required to register your GAGEtrak license. If you don't obtain a trigger code within 30 days of installing GAGEtrak, you will receive a message from GAGEtrak saying that your trial period has expired. Obtaining a trigger code will remove this expiration date. You may also require a new trigger code after reinstalling GAGEtrak because of a workstation upgrade or if GAGEtrak is moved to a new workstation.

Click here for trigger code instructions.

GAGEtrak 7 Tech Tip
Authorized Persons and Authorized Gages

GAGEtrak's Authorization feature allows you to assign a gage or restrict its issue to specific staff members. You can use this feature even if you don't use the issue/return feature.

The Authorization feature can also be used in conjunction with email events, i.e., notification of authorized persons when a calibration is due, when the gage is issued or returned, or when the gage is found out of tolerance. This will be covered in a future tech tip.

Here are a few common examples of how the Authorization feature could be used:
  • Allow only qualified people to be issued a particular gage (using issue/return)
  • Employee-owned gage: notify the employee that his/her gage is due for calibration or restrict issue of that gage to that employee
  • Notify a supervisor of gages being due for calibration in his/her department (no issue/return)
To set global policy, enable the Authorization feature. Navigate to the Setup -> Settings -> Security tab and check the Restrict Issue to Authorized Users checkbox.

To assign an authorized person to a gage, navigate to Gages, use the Quick Filter to find the appropriate gage record and then go to the Auth. Persons and Events tab. If the Restrict Issue field is left blank or if Program Default is selected, GAGEtrak will defer to the status of the Restrict Issue to Authorized Users checkbox in Settings. In the Authorized Persons pane, make a selection from the Name drop-down list. As a selection is made, another row appears, allowing you to add another authorized person.

Gages -_ Auth Persons

To assign a gage or gages to a particular staff member, navigate to the Staff -> Authorized Gages tab. You can use the Quick Filter to locate the appropriate staff record and then select the appropriate Gage ID from the drop-down list. This is a list of all the gages that the staff member is authorized to use.

Staff -_ Authorized Gages

To run a report of authorized users, navigate to Reports -> Report Viewer. Either click the Caliper icon (upper left corner of the program window) and then navigate to Open -> Reports or click the Home tab -> Open Select; the Report Selector window appears. In the All Reports tab, select the Gage Authorized User report. You can run the report for all staff members or filter by a specific Employee ID or Gage ID.

Using the Authorized Gages and Authorized Persons features in GAGEtrak will help focus your Automatic Email notifications regarding specific gages under your surveillance, assuring the correct individuals or department heads are notified when their gages come due. When used in conjunction with the Issue/Return capabilities in GAGEtrak, this feature can also restrict the issue of certain gages to only properly trained personnel, for example, or perhaps ensure employee-owned gages are issued only to their owners, etc.

We encourage you to explore the additional capabilities of your GAGEtrak software and as always, keep an eye out for future Tech Tips.
