Audits: How to Achieve 'Flying Colors' 

Let These Questions Guide You

If you work for an organization involved with meeting the requirements of a quality system standard, specification, or government regulation, sooner or later you will be on the receiving end of a quality system audit.

 

The auditor might be one who works for:

  • Your organization (an internal auditor)
  • An outside "registrar" (a certification auditor)
  • A customer (a supplier auditor)
  • A government agency (often referred to by names not used in polite conversation because, unlike the other auditors, they typically arrive unannounced)


Sometimes being audited is upsetting and it doesn't go well. Other times it isn't upsetting and you come through with flying colors. The difference is really simple. If you are prepared, you will do well. If you are not prepared, you won't.

Sorting Records in GAGEtrak  

 

GAGEtrak allows you to sort your records by almost any of the fields in the entry screens. You can place your cursor in a field, then click the [A->Z] Sort Ascending or [Z->A] Sort Descending button on the GAGEtrak toolbar (which appears above the entry screen.) You can sort your records in Form View or Datasheet View.

 

Gage Entry: By default, Gage Entry is sorted by Gage ID in ascending order. Sometimes it is useful to go into Gage Entry and switch to Datasheet View and sort gages by Description, Current Location or Owner. Other times, it might be useful to sort gages by Status, Calibrator or Next Due Date.

 

Calibration Entry: When you go into Calibration Entry, you are viewing your calibration history. The most useful way to sort your calibration history is by Calibration Date in descending order. If your records are sorted in this manner, whenever you go into Calibration Entry, you will be viewing your most recent calibration.

 

Calibration Standards and Calibration Measurements: These records are sorted by Standard ID and this sort order should never be changed. If your standards or measurements are not displayed in the order in which you will use them, you can force the order of your Standard IDs to appear in the correct order by numbering them.

 

Sort Order: The sort order in GAGEtrak is alpha-numeric, which puts blank records at the beginning of the list, followed by symbols, then numbers, then letters. Records are not sorted in numerical order. If you are using twelve Calibration Standards to calibrate a gage, you can force them to appear in correct order by numbering them as follows:

 

01) Gage Block .250 Inch

02) Gage Block .500 Inch

03) Gage Block .750 Inch

04) Gage Block 1.000 Inch

05) Gage Block 1.250 Inch

06) Gage Block 1.500 Inch

07) Gage Block 1.750 Inch

08) Gage Block 2.000 Inch

09) Gage Block 2.250 Inch

10) Gage Block 2.500 Inch

11) Gage Block 2.750 Inch

12) Gage Block 3.000 Inch

 

If you have more than 9 items, you must precede the single digits with a zero. If you had numbered the above standards without adding the zeros, they would occur in this order: 1, 10, 11, 12, 2, 3, 4, 5, 6, 7, 8, 9. Keeping this in mind, if you have more than 99 items, you must number them 001, 002, 003, etc. More than 999 items will require a numbering scheme of 0001, 0002, 0003, etc.

 

Sometimes when you are viewing your gages in Gage Entry, it may appear that records are out of order when you have sorted them in ascending order by Gage ID. If you switch to Datasheet View, you will discover the cause. Maybe there is a space in front of the Gage ID, or some Gage IDs have a space and others have a dash (hyphen) or some have no spaces. GAGEtrak treats a space the same way it treats a letter, a number or a symbol.
