Job description 

The primary purpose of this position as a key advisor is to provide administrative and project support to NASIMCO. You will be responsible for developing, implementing, evaluating communication strategies that support the vision, mission, scope, values and strategic priorities of the organization.

Position  

One Year Maternity Cover with possibility of extension: Administrative Officer at NASIMCO, based in Toronto, Canada

Schedule

40 hours/week scheduled during Monday - Friday 9:00AM - 5:00PM. Some weekend and evening meetings and responsibilities as scheduled ahead. 2 weeks vacation.

Responsibilities

 

Correspondence

  • Create, edit and distribute communication regarding events, procedures and protocol to our consistency including electronic monthly newsletters, flyers, signage, emails, bulletin boards and website to gain maximum publicity of all NASIMCO and/or World Federation initiatives.
  • Remain knowledgeable about the Organization; initiate and answer emails and phone calls.
  • Send out reminders / maintain constant contact with the WF Secretariat and all its departments. Assist in implementing projects in North America and providing status and progress reports in a timely manner.
  • Maintaining strong relations with all Member Jamaats
  • Compose various types of correspondence such as memo, circulars, letters, faxes or e-mails

 

Staff Support

  • Oversee one part-time staff member
  • Attend regular meetings as well as Executive Council meetings, the NASIMCO annual conference and any other special meetings as requested to present reports and status of all ongoing and outstanding projects

 

Special Event/Project Support

  • Increasing volunteerism amongst youths and capacity building from within our membership.
  • Assist and organize Annual Conference theme, agenda, and workshops.
  • Prepare annual report of all the activities and achievements of NASIMCO and present at the NASIMCO annual conference

 

Clerical/Administrative Support

  • Provide support for all fundraising efforts in North
  • Follow an orderly approach to handling work, i.e. set priorities, and make necessary adjustments to ensure work distribution and completion. Ensure timely communication with Office Bearers regarding project status and competing deadlines
  • Maintain an orderly work environment and filing system

  • Ability to strategically organize work coming from multiple office bearers
  • Ability to work under time pressures, changing priorities and with disruption.

  • Excellent interpersonal skills
  • Self-directed and proactive
  • Ability to maintain complete confidentiality regarding any personal information
  • Possess a thorough understanding and command of equipment used, i.e. telephone system, photocopier, scanners etc.
  • Competence in Microsoft Office and Access.
  • Previous work in a voluntary position for a Jamaat in North America is an asset
  • 2-4 years administrative experience. 

Required qualifications/Skills

Secondary Diploma or Degree in Communications, Public Relations or related fields and/or equivalent experience.

Remuneration

36K - 40K
