Greetings!

You can breathe,  we do not have any major updates planned for year end 2012.

At the end of 1st Quarter 2013 we will be providing new software updates which, will change the appearance of your Banyon Software application icons.  The icons will show the same icon background, but will also include initials of the software, like UB for utility billing. 

UB Icon This will make it easier to identify the correct icon when the programs are minimized.  When this update is available you will be notified via a message after your password is typed in. You then will be given the option to download.  Again, this will be in 2013, and not year end 2012.


A new change also is that reports are NOW backup up with any backup made to that specific software application.  No more exporting through file transfer to back them up.

So, if a report becomes damaged or deleted accidentally, go to file,BDS Report Transfer, and then click on import.  Next, locate the usable backup and select it.  The reports contained in that backup will appear and you may selectively choose or select all to import.

Highlighted New Features:

*Comments or project numbers can now be edited on a posted history transaction.  Go to see checks and then click on check detail or from the customer/vendor screen and checks option.
*New report added to report writer Budget Rev-Exp To Last Year and this is printed from the Exp/Rev Accounts category in report writer.  
*External Batches area now includes a list of posted batches.
*Receipt Batches now has the option to post each entry made in the batch as a separate entry to check recon instead of a batch total.  This facilitates the reconciliation of bank statements where individual entries are on the statement.
*Printing a copy of the check from the see checks or customer/vendor screen now shows Void and Non-Negotiable.

Helpful Year End Modules:
Manage Payables:
Great module to expense an item in one month but assign a due date to be paid later.  For Example, very common to expense an item in December, but pay for it in January.  Using the Manage Payables module avoids the headache of doing journal entries.  More detail HERE

Fixed Assets:
Easy way to track assets and calculate depreciation at year end.   Assets can also be entered with no depreciation type assigned.  More detail HERE

*Tax tables are typically available the 2nd week of January.  When the new tax tables are available you will be notified via a message after logging into the software.

Budget for the Time Card Module in 2013
The time card module allows you to create electronic time sheets for employees to fill out and then supervisors can submit.  This eliminates having employees fill out paper time sheets and then another employee manually typing into the payroll software.  More detail HERE
The cost of this module is $1895 and support is $395.  This can be installed in multiple locations for no additional charge.

*Full Bill Summary has been added.  Under the misc tab there is a summary code field.  What this can be used for is if you have a customer that pays for 5 different bills, put a 1 for example in the summary code field on all their accounts.  This will then provide one summary bill that you can attach with the other bills that will show totals.  To turn this on be on the main account screen and right click, setup, choose forms.  Now, in the right column scroll down to find full bills summary and click on it to say yes.  This will now be available to run from the reports drop down.  The next set of bills you want to group together will then have a unique code like 2 under the misc tab.
*Reconciliation By Account & Summary Report.  These reports will let you go back to a specific date to see account balances by account (detail for each account) or the summary will show all UB accounts but a summary total for each account.  To turn these on to use right click from the main account screen, setup, choose forms.  Now in the far right column scroll down and find the reports and click on them to display yes.  These reports are now available under the reports drop down.
*Billing Register Summary By Rate:  After a billing calculation is performed, this report can be printed to provide totals by your different rates that are set up.  Follow the same steps as above to access "choose forms" to turn this on.
 *Sump Pump Service Inspection Form
If you are currently using sump pump service, you can now click on that service that is attached to an account and print out an inspection/work order form.  If you need to track sump pump information but currently are not, give us a call to show you how to easily create a service to track.
*PSN users can now add multiple names to allow for internet bill paying.  Click on the names tab and click on a name and then check the box that says "send to epay"  This would allow any resident living at a property to be able to pay online.
*Snow Bird setup to send bills to different addresses.  Under the names tab click on the current name and mark the options for print from and to months.  Now, close out and under the names tab choose add new name and fill in the customers "winter address" and mark the print from and to as well as check the boxes on top for send bill and billing customer.  Now when those time frames come around the software will send bills to the correct address based on your setup.

Instead of manually making adjustments to accounts, use the certification module to create the list, generate letters, and create the file to send to your county.  More detail HERE

Tier Report/Rate Study:
This report will allow you to run a "What if" scenarios if you are changing rates.  The report will show you what you would have generated in revenue with the rate change.  The report can run for one month or by a selection of periods chosen.  More detail HERE

QR Codes now in use on various product handout and sales media

Banyon QR Code

Banyon Data Systems has started to apply to our products media material the QR codes (Quick Response Code) that may be scanned from an iPhone or Smartphone and will link you to our web site. We hope to use the QR codes in the near future to link you, with a scan of the code, from our billing invoices to our online payment center.
