1. Fiscal Year End Deadlines
Fiscal Close Process and Deadlines
New BearBuy Requisition less than $50K requiring Supply Chain Management Approval
|
If your requisition is under $50K and requires SCM Buyer Approval, the Buyer must receive your requisition by close of business on May 31* to guarantee use of 6/30/2016 funds.

Lien Removal or Chartfield Change
|
Submit and approve a BearBuy Change Order Request Form by close of business on June 8*. Be sure to follow the instructions on the form.

*Requisitions submitted by these dates must be accurate and complete. Incomplete and problematic requisitions result in processing delays and may not be approved before fiscal year end.
In an effort to simplify the ordering process for office supplies, we will be transitioning Office Max from a BearBuy Punch-out site to a hosted catalog. A hosted Office Max catalog will be available on Monday, May 9, 2016.
This change will bring several benefits to campus customers:
- Allow "shop at the top" capability for all office supply products
- Make it easier for customers to compare side by side pricing with items from other suppliers
- Ability to use BearBuy's filtering tools to refine search results to specific categories or manufacturers
The Office Max Punch-out will no longer be available in BearBuy beginning July 1, 2016. Please begin using the Office Max hosted catalog for your orders. If you have saved favorite items in the Office Max Punch-out, please find the items in the Office Max hosted catalog and save them to your BearBuy favorites for future re-ordering. To learn more about BearBuy favorites, please review the BearBuy Shopper Guide's "About Favorites" section on page 2.
UC San Francisco launched The Healthy Beverage Initiative in an effort to align campus food and drink sales with the growing science about the negative impact of excess sugar consumption on health.
UCSF Campus and Medical Center are among more than 30 health systems nationwide that have begun to eliminate the sale of sugary beverages on campus in response to the growing evidence of their roles in metabolic and chronic disease, including obesity, diabetes, heart disease, liver disease and dental caries.
In support of this initiative, as of April 15th Supply Chain Management requires all caterers in the America To Go Punch-out catalog, to remove all sugar sweetened beverages from their menus and, where possible, replace them with healthy beverage alternatives. Supply Chain Management along with America To Go are working to ensure all caterers meet the UCSF healthy beverage requirement.

Q: I have feedback I would like to share on my recent experience using a caterer listed in the America To Go Punch-out. What options do I have to provide feedback?
A: Shoppers/Requesters can send their feedback directly to Supply Chain Management by emailing bearbuy@ucsf.edu.
Alternatively, a Feedback button is available on every caterer menu within the America To Go Punch-out. The feedback button is located on the top left corner of the menu page.
The feedback button is also available on the caterer summary page.
After clicking the button, a window appears. Select the topic that you would like to provide feedback on and enter additional comments/order detail in the space provided. To send your feedback to America To Go, click the Send Feedback button. To exit this screen, select the X located at the top right corner of the screen
