Important BearBuy Updates

Happy New Year! We hope you all had a pleasant holiday break.

We would like to inform you of a few updates.  Please review the topics below and follow the links or scroll down for more information on each topic.

To maximize the benefits of ATG for the University, on-campus catering ordering changes were phased in from December 1, 2015 through February 1, 2016 as follows:
  • December 1: No new orders outside of ATG can be placed for existing ATG caterers
  • January 1: No new on-campus catering orders can be placed for caterers NOT part of ATG; outstanding invoices for caterers outside of ATG will still be paid. Catering orders placed directly with caterers in America To Go (last-minute orders) should follow the ATG post-event process. This will ensure proper approvals are captured and payment is facilitated.
  • February 1: All on-campus catering orders and payments to caterers must go through ATG 
 Also effective February 1, 2016:
  • Procurement cards (P-cards) may be used at any restaurant locations for DINE-IN SERVICES ONLY.
  • Use of caterers not in America To Go for on-campus events conflicts with UCSF purchasing policy and is strongly discouraged.
    • Outstanding invoices associated to previously committed events/orders ONLY should be facilitated on the Meeting & Entertainment Payment Request Form.
    • Accounts Payable and Supply Chain Management will be monitoring these payments to help transition departments into fully utilizing the ATG Punch-out.
    • If your preferred caterer is not in the America To Go Punch-out, send the caterer information including name, address, phone number, etc to bearbuy@ucsf.edu. SCM will be working with ATG to contact our preferred caterers and urge them to participate in our managed catering program.

Q: I am not able to locate the BearBuy Surplus Form.  Where can I find the form to submit my surplus request?
  
A: The Surplus Form was removed from BearBuy on November 16, 2015 because the form is no longer used for surplus requests. More information about important changes to the surplus program is available on the Supply Chain Management Surplus Webpage and the November 2015 BearBuy newsletter
