1. Thank you for attending the July 11  Bears That Buy Town Hall! 

We would like to thank everyone who attended our Bears That Buy Town Hall on July 11th.  The turnout was fantastic and we received a lot of great feedback! We appreciate the opportunity to hear your comments.  Your input is valuable to us and will be used in the upcoming year as we focus on improving BearBuy.

2. IMPORTANT: Upcoming 14.2 SciQuest Release

  

BearBuy 14.2 SciQuest Related Outage

BearBuy will be unavailable Friday, July 18 starting at 6:00 p.m. through Sunday, July 20 at 12:00 p.m. to accomodate the SciQuest 14.2 feature release upgrade.  

  

BFS will remain available during the normal daily hours of 7:00 a.m. to 9:00 p.m.

  

 Q&A Webinar: 14.2 SciQuest Release 

The SciQuest 14.2 release will be available in BearBuy on Monday, July 21, 2014.

We will hotst a live 14.2 pre-release Q&A webinar to go over all the new features coming in 14.2.

3.  20-30 Webinar Training Series

 

Operations & Technology is launching a 20-30 BearBuy Webinar Training Series. The goal of the 20-30 series is to provide greater insight on BearBuy process and procedures based on system functionality.  Each webinar session is tailored to provide a short in depth review of a specific topic/issue. Each session is scheduled for 30 minutes (15 minutes for concepts and functionality overview and 15 minutes for questions). 

 

Below are the upcoming sessions and their unique webinar sign up. All sessions are scheduled on Wednesdays, from 1:30 to 2:00 pm. 

 

Profile Management: How it works and why it's beneficial for everyone to use!

This webinar will review the Profile Management tool, its benefits in BearBuy and why we recommend every department utilize it on campus.

We will look at the Payment Request Form in a little more detail. We'll go over what can be paid on a PRF (and what shouldn't), what information must be included on the form, and how to submit the form so it's processed as quickly as possible.

We will take an in-depth look at the types of transactions that can be paid using a bluCard vs using BearBuy.  We'll go over each recommended transaction types we have that can go on a bluCard and which transactions MUST be placed in BearBuy.

Participants will learn concepts, workflow, best practices, and can test their knowledge through several hands-on exercises in BearBuy. We will also demonstrate additional training materials available for the role, including Job Aids, manuals and YouTube videos.

 

BearBuy Authorizer & Requisition Approver | August 4, 2014

Detailed classroom training for the BearBuy Requisition Approver, Additional Authorizer, Chartfield 1 & 2 Authorizer Roles. Participants will learn concepts, workflow, best practices, and test their knowledge through several exercises in BearBuy. 5. "Did you know?" Useful BearBuy Tips 

  

Q: 

What data is considered private information and requires strict access control?

  

A:  

UC Berkeley policy requires strict access control over personally identified information (PII) that contains an individual's name or initials combined with a social security number, credit card number, driver's license or state identification card number, any type of medical or medical insurance information, or any personal financial account number.
 

Before uploading any document or adding any comments in BearBuy please redact any sensitive and PII information so it is unreadable.  A BFS Supplier Number (ex: employee or student ID#) is not considered private information and does not need to be redacted.       

The following are considered personally identified information:

  • Anything that contains an individual's name or initials combined with a:
    • Social security number
    • Driver's license number and state identification card number
    • Credit or debit card numbers
    • Any type of personal medical or medical insurance information
    • Personal financial account information or numbers
    • Full Birthdate MM/DD/YY
  • Similarly, an individual's home address and family information also requires restricted access control.
