Update on Florida Supreme Court Administrative Order #14-19 |

In my January and March newsletters, I discussed AOSC14-19 and the changes occurring over the next several months. On Friday, April 24, I gave a presentation to members of the Tallahassee Bar Association about this order, the history leading up to it, and our next steps. Clerks have established a task force and have been working with the Courts to ensure a consistent statewide application and interpretation of the administrative order. Some of you may have already experienced the changes as access to court-related information is no longer provided by the county but solely by our office. Attorneys using our judicial website to access their cases should not be affected. However, access to case information for which you are not the attorney of record will be more restricted. Our office must redact all confidential information before the documents can be made available to non-parties/non-attorneys to the case. |

We want you to know that we've been listening to you and have heard your concerns. First, we know that attorneys filing in multiple counties have been frustrated that the e-filing portal configuration from county to county is not consistent. Initially, Clerks were in a hurry to get up and ready on the portal that no effort was made to provide a consistent look and feel. Clerks are now working on a best practice and developing a consistent set of document descriptions for filers. In the past, we have heard concerns about how the document names vary from county to county; Clerks are working to address this as well. We are committed to providing easy access on the portal to our customers, but this migration path will take some time to achieve.
We are also aware that many of the larger law offices have had problems in reconciling the fees they paid on the portal and charging that back to specific cases. Help is on the way! On April 25, the statewide efiling portal was updated to include these changes for users:
- A "My Fees" screen to allow users to see fees paid; provide an export feature to a spreadsheet to allow users to import into banking software; when filings are sent to the pending queue, auto lift authorization on the filing.
- Limiting of the "Organization" field on the party tab so plaintiff and defendant attorney party roles can no longer be added to this particular field.
- A "progress bar" added to the file size column on the "Documents" tab to allow the filer to see that a document is being uploaded, show the progress, and show when complete.
- Revised content of the pending queue email to filers to provide more detailed instructions on how to use the pending queue to resubmit.

Update on Launch of Our New Public Website: www.clerk.leon.fl.us

We previously announced that we would be launching a new public website. Our new public website was designed to make it easier for infrequent users of the Clerk's Office to more quickly and easily identify the information they needed. We decided to delay that release to coincide with the release of our new mobile site. We are now poised for a release of both sites on May 4.
The new mobile site is a huge step forward in functionality as it moves from having only a half dozen features available to a fully functional site that mirrors all of the features available on the primary website, configured for easier access on smartphones and tablets with their more limited screen size. Please stay tuned and let me know what you think of the new sites.
