What Does That Mean to You?

 

On Monday, June 3, the Leon County Clerk's Office will begin operations using a new civil case maintenance system. We have been preparing for this migration for some time and believe we are fully prepared.  My past experience in changing systems, however, has taught me that there is usually always something unexpected that happens. So during the first couple of weeks of June, we ask for your patience as we make this change. In the long run, we believe this will make us more efficient and reduce errors as it integrates the new e-filing central portal and other software subsystems into the application.

 

The judicial website and our public website search engines will be moved over to the new application. While the look and feel of these websites will not change, they will now be pulling data from the new case maintenance system. We have been testing the data and performing quality control checks. But as I mentioned, there may still be problems and we ask for your patience and understanding.   

 

We also ask for your assistance.  On both our judicial website and our public website we have a mechanism in place for you to report problems or concerns with data you see that appears to not be accurate. On the judicial website, look for the "help" tab in the menu bar; on the public website, look for the "feedback" button on the top right-hand corner of the screen.  On the public website you'll select "Clerk Information Systems" as the department and "Administration" as the recipient.  You'll be able to report what you see to us in a way that will ensure your concerns are routed to the correct individual who can correct it as quickly as possible. We will greatly appreciate the information.

What's New on the Portal?

 

 

News and Information

 

After you log in to the efiling portal, notice that at the top of the front page a new section has been added titled "News and Information." This new section will advise you of any recent changes on the portal or any news or information that is generic to all counties.

 

After you identify the specific county where you want to file, you will then move to that county's home page. A "News and Information" section has been added to each of the county pages for information specific to that county. For instance, the new section will provide information about whether follow-up paper copies are still required, how to handle proposed orders, and other information specific to that county. Please pay close attention to these sections over the next several months as there will likely be new information posted regularly.

 

Best Practice

 

In order to meet the timeframe for full implementation of the portal by April 1, clerks statewide loaded the portal with their civil case types, document types and fees.  Unfortunately, there was no standard template for a clerk to follow; therefore, as several of you mentioned, there are differences in how the portal looks between counties. 

 

We shared those concerns with staff at the Florida Court Clerks and Comptrollers Association (FCCC).  The FCCC put together a Best Practice Committee to develop a standard display of case types and document groups.  

 

Last week, at the E-Filing Authority Board meeting, the Board adopted a best practice that incorporates a standard presentation of case types and document groups.  Training on this will be developed and clerks will begin migrating to this standard.  I am pleased to report that Leon County is one of two counties that has already incorporated the standard. So, what you see for Leon County will soon become the standard for other counties.
