EIV & Employee Turnover
  
Meeting EIV security requirements and having the proper access documentation can be tricky, but taking the proper steps at employee turnover can sometimes prove more difficult. 
  
In addition to terminating access to EIV, there are other best practices that Coordinators should implement.  Here are some questions to consider about HUD system access at employee turnover.

Can the User access other property data in the HUD Secure System besides EIV?
  • Remember to un-assign them to TRACS and PASS  
Can Users take their ID with them if they no longer work at the management company but remain an employee at the property?
  • In some cases, the answer is "Yes" and in some cases "No"   - depends on the origin of their ID.
Who terminates EIV access if the EIV Coordinator quits?
  • This can be the outgoing Coordinator, HUD or the incoming Coordinator  

Can we use the former Coordinator's ID and log in until the new person is hired and trained?

  • NO - You many not share log ID's and passwords, regardless of the circumstances.

MOR Tip of the Month - TRACS Rules of Behavior

  
Did you know?  The CA can request of copy of your signed TRACS Rules of Behavior during an MOR if they see that you have access to TRACS in the HUD Secure System.

 

Log in and check to see if you have TRACS as an option at the Main Menu before you enter the EIV system.  If so, the TRACS Rules of Behavior must be "accepted" in TRACS annually. Be sure to also print, sign and keep on file at the property.

EIV Tip of the Month - Security Training

  
Did you know? Some are spending an hour taking HUD's required Cyber Awareness Challenge only to have the Certificate fail to print at the end.
  
Be sure to use Internet Explorer when accessing the Cyber Awareness Challenge site. Many problems are occurring when folks are utilizing Google Chrome.

If you have screens shots documenting that you took the training but the certificate did not print, some CA's are accepting that during this problem period, on a case by case basis.
