President's Message 

This is a very exciting time to be a part of GRAVA! The start of a new membership year means the start of a new year of programming along with new opportunities for networking, exchanging fresh ideas, and sharing new energy. With particular emphasis on the words "fresh" and "new!" 

 

"If you do what you've always done, you'll get what you've always gotten." Evaluation is a best practice that we all should engage in periodically, and GRAVA is no different. In the past year, we made a concerted effort to solicit feedback from GRAVA members, and boy, did we get what we asked for! The comments, suggestions, observations, and recommendations we received were intelligent, insightful, and innovative (just like our membership!). Now it's up to us, the board, to absorb this feedback and determine what to do with it.

 

So in August, the board gathered for a special 4-hour strategic planning session facilitated by none other than Katie Campbell to examine how GRAVA should align itself over the next three years in order to maximize our value as a learning & leadership resource for volunteer managers in our region. We've made a lot of progress, but we still have a lot of work to do! Thank you for your patience while we consider some fundamental changes, both big and small, and work to implement those changes this fall. (Hint: Some major date, time, and format changes are being considered for the programming schedule starting in January 2014!)

 

The good news is that we are launching the new year with an amazing board that is perfectly positioned to take the organization to the next level. With five continuing board members and three new recruits, we've got the perfect blend of experience, familiarity, and dedication combined with impatience, intensity, and passion to make GRAVA the best it can be! 

 

Did I mention that this is a very exciting time to be a part of GRAVA? To maximize your 2013-2014 membership and be a part of all the exciting improvements on the horizon, be sure to renew your application before September 30! And please DON'T FORGET to RSVP for the Member Mixer on September 26 at the VMFA! It's going to be a great opportunity for networking, socializing, and celebrating the exciting work that we do every day! I look forward to seeing YOU there!

September Workshop Highlights 
GRAVA's 2013-2014 membership cycle got off to a great start with an excellent session presented by GRAVA member chair Melissa Gilmore! Twenty-two GRAVA members attended the September 5 breakfast workshop on the topic of Developing Effective Position Descriptions. According to Steve McCurley & Rick Lynch, "The single most important factor in managing an effective volunteer program is the design of the volunteer positions. Although this area is critical, Volunteer Program Managers typically pay too little attention to doing it well. An organization that has interesting and productive positions to offer will have an easy time attracting and keeping volunteers." Here are some of the main presentation highlights:
  • We all know that the value of volunteer support goes far beyond "getting the work done." Volunteers bring diversity of skills, expertise, and perspective to the organization. They also strengthen the credibility of the work, raise awareness, and increase the availability of resources.
  • The least we can do to reciprocate for the many gifts that volunteers bring is to take their roles seriously and be prepared for their service!
  • Well-written position descriptions clarify the expectations for the volunteer and for the organization, even for relatively simple volunteer tasks.
  • Additional elements of a well-written position description include: qualifications, training requirements, role responsibilities, expected outcomes, schedule commitments, and benefits.
  • Consider the position description as a contractual agreement between you, your organization, and your volunteer. Invest time in thinking it through and getting it right!
  • Use action verbs to facilitate coaching, guidance, supervision, and management of corrective issues. 
  • Clear and thoughtful position descriptions set the stage for a well-managed and meaningful volunteer experience that can convert your volunteers into lifelong supporters!

Don't forget that GRAVA's 2013-2014 programming year runs from September 1, 2013 - August 31, 2014! To maximize your member benefits, request an updated application now from me at Melissa.Gilmore@lung.org, then submit it along with your $30 payment BEFORE September 30 for a chance to win a $25.00 Amazon gift card! 

 

It is our goal this year to have 100 GRAVA members, so please reach out to your networks, invite them to a meeting, and let them know why you value your GRAVA membership. We have already had 22 people either join as new members or renew as returning members, which is great! Remember if you are renewing, you still need to fill out an application. This helps to ensure that our membership database and directory are up to date.   

 

Lastly, but certainly not least, make sure to mark your calendars for our 2nd Annual Become a Member in September Mixer scheduled for Thursday, September 26 from 5:30-7:00 at the Virginia Museum of Fine Arts.  

 

  • We will gather in the Clairborne Robertson Room on the 3rd floor of the Museum, next to Amuse Restaurant to network and get to know each other better. 
  • You will have an opportunity to join GRAVA that evening as well.  
  • If you bring a guest who joins GRAVA that night, you will be entered into a special drawing for two tickets to the Hollywood Costume Exhibit!  
  • The event is $5.00 per person for refreshments and a cash bar will be available too.  
  • We hope you will make plans to attend this really fun evening with your GRAVA colleagues!

Celebrate IVM Day With GRAVA!
Universally, people recognize the contributions of volunteers - in sport, health, emergency services, faith communities and the environmental lobby    ...in fact volunteers are involved in just about every aspect of service delivery in all walks of life. However, volunteering does not succeed in a vacuum. That is why we celebrate International Volunteer Managers Day every year in November. 
 
This year, GRAVA will celebrate IVM Day at our November 7 breakfast workshop! In addition to our regular breakfast and program, we will have tasty treats and a special gift for each participant
 
Don't miss this special meeting and once-a-year opportunity to celebrate the important work that we do to make our community and world a better place!

Meet GRAVA member & new Programs Chair, Sarah Steadman! 
 
I attended my first GRAVA meeting while in grad school.  Being new to Richmond, and the nonprofit profession, I very quickly recognized and valued the opportunity to have a space to network with peers and develop myself as a professional.  It was wonderful to have the opportunity to learn from experts and peers in the field.  I  continued my GRAVA membership after graduating and have enjoyed many benefits.  
 
Obviously the workshops and conference are full of helpful information and I often attend based on what I most want or need to learn about.  However less obvious perks is the joint wisdom of my peers.  At the lunch bunches, or when I can't make those, by forwarding a request to the general membership through the e-newsletter, I have gotten great feedback from my peers, often with very actionable suggestions.  This has been tremendously helpful in troubleshooting challenges or coming up with creative ideas such as ways to say 'thank you' on a non-existent budget.  
 
Lastly GRAVA allows me to pull the resources of my local community.  I have utilized speakers for my organizational needs that I have learned about through GRAVA events, who often providing their time at incredibly affordable rates.  I have also been able to borrow facility spaces from fellow.  This was especially helpful when our growing nonprofit wanted to host a strategic retreat but did not have enough space to hold a full meeting out our current location.  Having allies in the field both for tangible and intellectual support has been an invaluable perk for me and my organization.  Thank you GRAVA for creating the space and opportunities to build these strong and supportive bonds!

Ready-Set-Go! HandsOn Greater Richmond and generationOn Bring Boot Camp Initiative to Richmond to Increase the Area's Capacity to Engage Youth and Family Volunteers!

 

Constant calls and emails from youth and families wanting to volunteer?  Not quite sure how to engage youth and families effectively as volunteers?  Need assistance understanding how your agency can engage youth and families as volunteers given limited resources? Youth and Families are ready for you. Are you ready for them?

 

HandsOn Greater Richmond is joining forces with generationOn - a national youth service organization - to bring tremendous resources and best-practices in youth engagement and volunteer management to our community. Please join us for Ready-Set-Go! Boot Camp, a FREE training this November (date TBD).

 

Boot Camp is an intensive professional development opportunity for nonprofit and community-based staff who manage volunteers on a regular basis-focused specifically on expanding practices to engage youth and families. With benefits including training, a dedicated volunteer leader placed within your organization to lead projects, peer support network, micro-grants, volunteer recruitment and enhanced community partnerships, the Ready-Set-Go! Boot Camp will:

 

  • INSPIRE participants to realize the value of engaging youth and families in volunteerism.
  • EQUIP participants with tools, best practices, resources, connections to your community and the know-how to effective bring youth and families into your agency/organization.

Tip of the Month 
From Susan's Tip of the Month (September 2013), by Susan J. Ellis, President of Energize Inc.

No one wants to volunteer time uselessly. One way to respect this principle is by periodically assessing how well volunteers are performing assigned work, both to applaud valuable effort and to improve or correct problems.

 

Call the process something other than an "evaluation," which conjures up memories of student report cards (or pay raise conferences) and emphasizes the past. Instead, use more neutral phrases, such as Mutual Assessment, Progress Plan, or the Where-Are-We? Check-in. 

  • Think of volunteer performance assessment as recognition 
  • Apply the process to all volunteers fairly and equitably 
  • Be sure that the evaluation process is two-way 
  • Start from the Position Description 
  • Engage the volunteer in considering how to resolve any possible concerns 
  • Be Prepared to Take Action 
  • Look ahead, not back

Why is it important for GRAVA members to serve as advocates for our profession? And what does it mean to be an advocate, anyway? This was a hot topic of discussion at the National Conference in June, and now it's time to bring it into the trenches!
 
We all know that our volunteers, our programs, and the work we do as volunteer managers can be undervalued by our colleagues and organizations, despite the valuable resources, awareness, and credibility we generate for our missions.

Did you know that GRAVA offers scholarship funds to members to cover costs associated with a variety of learning opportunities including Nonprofit Learning Point classes, CVA, and professional development conferences?
  
Here's what GRAVA member Laura Robertson, Youth Services Specialist with Hanover County Dept. of Community Resources, had to say about her scholarship:
  
  Thanks to a scholarship I received from GRAVA, I was able to complete a two-day training offered by Nonprofit Learning Point titled Effective Program Strategies for Successful Youth Programs.
 
The hands-on class was taught by two very experienced instructors, Steve Hixon and Valerie Liggons Law, and covered logic models to measure the effectiveness of programs, assessment tools, evidence-based programming, adolescent behavior, youth culture, and introduced cultural competency.
  
I learned about the seven developmental needs of young adolescents and risk and protective factors. I learned how my program fit into the bigger picture of youth development. I've also increased my knowledge regarding the importance and function of evidence-based programming. 

I am able to apply this knowledge directly to my job by using it to analyze my program using the logic model format. This will allow me to create more effective activities for the young people in my program.
