Although you can get this info now from dashboards, Walter was looking for which table to use for Budget data when accessing the data directly through the data warehouse.

Kring informed us of two new dashboards in UAccess Analytics for Research. Each contains pivot view by activity type, proposal status, proposal type, and sponsor type. Both are promptable by College, Lead Department Name, Lead Investigator, (Date Submitted) Fiscal Year, and Proposal Status.
 
Two new reports were added in UAccess Analytics under Employee. Both these reports provide users the hires and separations in a college for a time period.

New Training Materials for Subcontract Requisitions and PO Amendments

Does your department submit Requisitions and PO Amendments for subcontracts? This process can be a tad confusing, but we've got some good news for you.

 

We just completed a new tutorial to walk you through the details of how to submit these documents correctly. Training resources have been added to the UAccess Financials Resources page in the UAccess Community.

And here is the direct link to the booklet and flowchart.

 

We also have the same content available in our on-line tutorials but in a slightly different outline.

 

The book contains two topics:

  • Initiating a Requisition for a Subcontract
  • Amending a Purchase Order for a Subcontract

The first topic, Initiating a Requisition for a Subcontract, can be found under Purchasing > Creating a Requisition > Initiating a Requisition for a Subcontract.

 

The second topic, Amending a Purchase Order for a Subcontract, can be found under Purchasing > Changing Purchase Orders > Amending a Purchase Order for a Subcontract.

Analytics Update

As you probably know, UAccess Analytics was updated over the weekend of June 21st. There are some basic changes to how the system looks, but they're fairly benign. There are also some new functions that have been added, both for dashboard users and for analysis builders. Take a look at the Analytics Update: A New Look, New Features, and New Functions document available from the Resources > UAccess Analytics page here on the UAccess Community. We think you'll like some of those changes! I'll be talking more about them in the coming weeks, or as questions come in.

Is your department ready for the Fall hiring rush? If you are responsible for completing hiring requests in Uaccess Employee, we've just scheduled two workshops you should take. 

 

The hiring process involves several applications but the bulk of the work is completed in UAccess Employee. These workshops walk you through the details of that work. Starting out with a discussion of the overall hiring process the workshops give you the opportunity to complete hiring requests for a variety of hiring classifications. You will also have a chance to look at the hiring forms found in the New Employee Work Center. Use the links below to register.

New Resources added to UAccess Document Library

In the last few months there have been a variety of new resources added to the document library.

 

Travel

FSO shared a checklist they use when processing travel as well as an information sheet used for per diem and mileage reimbursements.


Arizona Public Media shared two travel documents, one is a template for documenting expenses, the other is documentation for pre-trip planning that includes a checklist and a sample email to travelors alerting them of their responsibilities. (That sounds like a good idea)

 

Employee Onboarding

The Financial Management Services unit in UITS shared two documents they use when processing new employees. One is for students, the other is for everyone else.

 

If you have been struggling with any of these issues, take a look at these documents and see if they can be used in your department, either as-is or with some modification.

This month's tip comes from Steve's weekly recap which can be read in it's entirety hereRecently, a client was struggling with a filter for an analysis. She was trying to get a list of current financial accounts for her departments which a) had expired and been closed during the previous 60 days, and b) were still open but due to expire within the next 90 days. She was struggling with the filter, trying to make it all work. Read the details of how Steve helped her here
