2. MADE HOTEL RESERVATIONS ON TRIPS WHERE PARENTS ARE TRAVELING WITH PLAYER

3. MADE PAYMENTS AND REGISTERED FOR BUS TRIPS
 
PLEASE NOTE THAT IF YOU ARE STILL PLAYING HIGH SCHOOL BASEBALL WHEN THE NASHVILLE TRIP HAPPENS, WE WILL REFUND YOU THAT MONEY.  THIS ALWAYS ENDS UP BEING JUST 3-6 PLAYERS ACROSS THE PROGRAM.

Hi,

This is a very important email covering 15-17u travel arrangements for the summer.  Please read it carefully and take care of the items as required.

By now, you should have submitted all of your FLEX weekends to your coach and also identified which nights you need to spend in "team rooms".
 
The cost is $50 per night for a player to stay in the team room.  Payment must be made in advance of the trip.  If you need to stay in a team room, click here to fill out a form, specify dates and pay using a credit card with PayPal.  
 
We are not accepting paper checks for team rooms this year -- it is just too complicated administratively to deal with.  If you have questions about team rooms, please email lauree.gallion@gmail.com.
 
Team rooms are meant for out-of-town tournaments where parent(s) are not going to attend.  So, the player rides down with a teammate and bunks up in the team room (which is supervised by the coaches).
 
The rest of this email covers hotel and bus trip information.
 
Please note that at 15-17u, ALL hotel options are determined by the tournament operators.  We need to choose from their list of hotels.  In several cases, we have asked them to find some lower cost options for our teams. Hence, the short delay in this email.
 
Please read the rest of this email carefully and follow the dates outlined. If you do this, you will be guaranteed of hotel rooms and will still be able to change or modify personal arrangements up to at least 3 days prior to the event.

For the hotels listed in Green, room blocks have been set up for parents/players.  But, you need to make your personal reservations by calling the phone numbers provided and providing your name and credit card information.  Please do this by May 3rd.  It is only a few phone calls.
  
If you need to change your plans, you can still do it up to 3 days before the tournament.  If you do not call by May 3rd, there is no guarantee that a hotel room will be available for you.  This whole process works best if you make your reservations now, then make adjustments later as required.
 
The bus trips are listed in red.  Parents are not required to do anything on these trips except pay for the bus and hotel costs.   For these trips, the costs of hotels and charter buses has gone up 10-20% in recent years. The Trivia Night Fundraiser helped offset some of these costs.
 
The cost of the each bus trip this year is $335 per player, offset by $20 in Trivia Night funds.  So, net cost is $315 per player, per bus trip.
 
All teams have 2 bus trips this year.  So, please make a payment for $315 per bus trip, or $630 total.  If you have selected a bus trip weekend as a flex weekend, then only pay for one trip.  

 
If you high school baseball team is lucky enough to make it to the final 4 in MO or the final 8 in IL, then you may miss the first bus trip to Nashville.  In that case, we will refund you the bus trip money.
 
Note -- on bus trip weekends, parents do not need to attend the tournaments at all.  If you do decide to attend, please stay at a different hotel.  Part of the bus trip experience is team bonding. 

Breakfast is included in the hotel costs.  So, the player will need money for lunch, dinner and snacks during the trip.  Most players bring their own snacks.

Also, note that we could save $30 per player if we went with a lower cost bus charter company.  We use Vandalia, which is rated as the safest, most reliable charter bus fleet in the region. Our experience confirms that this is the right choice.
 
Finally, the hotel listed is Blue is for the Perfect Game WWBA event in East Cobb (Marietta/Atlanta, GA).  These events draw the top 200 teams in the country at each age group.  Our hotel blocks for this event were reserved last November.  Perfect Game controls the hotel reservation process.  We are required to provide a group list of names and credit card information to convert the block into specific reservations.
 
To assist in this process, please click the following link to provide all the information that we need to provide to our hotel.
 
 
This information is required by May 15th.
 
Once we provide the group information, the hotel will send a confirmation number for your reservation.  Once you get your confirmation number, you can call the hotel directly to make any changes or special requests.
