Dear Procure to Pay Reporting Users,
We are pleased to announce a new Cal Answers Procure to Pay release. Effective immediately, there are five new reports available: 
  1. Auto-Approved Requisitions
  2. Requisition Creator Activity
  3. Non-Catalog Spend with Catalog Suppliers
  4. Spend by Form Type
  5. Voucher Automation

A series of recorded webinars about each of the reports included in the December 2012 release is available on the Cal Answers Procure to Pay website. In the webinars, project team members walk through the new reporting features and explain the business application of the metrics.

 

What's new...

Auto-Approved Requisitions report

This dashboard compares your Org Node's requisition auto approvals to the rest of campus month-by-month for a specified time period based on Requisition Submitted Date. The dashboard filters results by Supplier, Requisition Creator, Org Node, and Chart of Accounts, and allows you to drill to Requisition Detail. Key questions the report addresses are:  

  • Is my unit taking advantage of the efficiency of auto-approved requisitions?
  • Are auto-approved requisitions being used appropriately?

Requisition Creator Activity report

This dashboard displays the volume of Purchase Orders processed by Requisition Creators within a specified Purchase Order Date range. Key questions the report addresses are:

  • What is the workload of my requisition creators?
  • Are there opportunities to better balance workload, reduce unnecessary work, and increase productivity?

Non-Catalog Spend with Catalog Suppliers report

This dashboard compares your Org Node's Catalog vs. Non-Catalog voucher activity to the rest of campus for a specified time period based on the Voucher Entered Date. A key question the report addresses is:

  • Are there opportunities to move spend onto catalogs to save users' time and take advantage of the relationships with our favored suppliers?

Spend by Form Type report

This dashboard compares forms used to make purchases with the rest of campus month-by-month for a specified time period based on Voucher Entered Date. It highlights two form types the campus is encouraged to use less often: "After-the-Fact Purchase Order" and "Payment Request." A key question the report addresses is:

  • Are we minimizing the use of After-the-Fact Purchase Orders and Payment Requests?

Voucher Automation report

This dashboard categorizes vouchers into either "High Level of Automation" or "Low Level of Automation" based on the level of human intervention required to process them. It compares your Org Node's results to the rest of campus month-by-month for a specified time period based on the Voucher Entered Date. A key question the report addresses is:

  • Is the campus improving our use of electronic invoicing to save time and money?
