Thursday, September 18, 2014, 8 am - noon
CoAEMSP/CAAHEP current Standards & Interpretations: Sponsorship, Program Goals, Resources (Curriculum), Student Evaluation, and Fair Practices

OBJECTIVES:
At the conclusion of this session, the participant will be able to:
  1. Identify the eligible sponsorship criteria for accreditation.
  2. Discuss the program goals and the Advisory Committee.
  3. Discuss issues of fair practices that protect the students. Identify the requirements and responsibilities for program director, medical director and faculty.
  4. Describe the methods that can be used for preceptor training.
  5. Discuss the necessary clinical opportunities and tracking for students during hospital and field internship.
  6. Identify the requirements for student evaluations, including affective and psychomotor.
  7. Identify the requirements for student cognitive evaluation, including item analysis.
  8. Describe outcomes reporting required for evaluating program effectiveness and the annual report.
DESCRIPTION:
This session is designed to assist the new paramedic program director/instructor or a program director/instructor who has not been involved in accreditation to become more familiar with the accreditation process and requirements. The session will include a thorough discussion of the necessary sponsorship, program goals, resources, student evaluation and fair practices. There will be time for questions and answers.

This is a similar session to the 2013 session by the same name. New program directors or program directors that have not gone through the accreditation process are strongly encouraged to attend this session.

Thursday, September 18, 2014, 1 pm - 5 pm
CoAEMSP/CAAHEP Accreditation Site Visit: Preparing, Enduring & the Aftermath

OBJECTIVES:
At the conclusion of this session, the participant will be able to:
  1. Discuss what must be done to prepare for the site visit.
  2. Describe the schedule for the visit and what will happen while the visitors are at your program.
  3. Identify what steps you will need to take after the site visit and how to do them.
DESCRIPTION:
This session is designed to assist the new paramedic program director/instructor or a program director/instructor who has not been involved in accreditation to become more familiar with the Site Visit and be more prepared. The documents and logistics prior to the visit will be discussed as well as what will happen during and after the visit.

Let's Make a Deal: Citations and Deal Breakers

OBJECTIVES:
At the conclusion of this session, the participant will be able to:
  1. Discuss the most common CAAHEP/CoAEMSP citations for a Standards violation.
  2. Identify potential approaches or solutions to given Standards violations.
  3. Identify the potential 'deal breakers' that pose a barrier to successful accreditation.
DESCRIPTION:
Initial or reaccreditation: both evoke a fear of the unknown.   What will they be looking for, will we be in violation of something, and what are the real deal breakers?  While each program is unique, as the accreditation process for Paramedic programs continues to mature, the data provides a fairly clear picture of common citations and issues and challenges in the Paramedic education process.  Combined experience of the ever expanding cadre of accredited programs also provides valuable insights into how various programs create effective solutions to continue to improve the educational experience as we strive to determine competency.  And for some programs, what are the real deal breakers, that make or break Standards?

OBJECTIVES:
At the conclusion of this session, the participant will be able to:
  1. Participants will learn the upcoming CAAHEP Standard I, II, and V changes.
  2. Participants will inquire how the standards changes may affect their programs.
  3. Participants will identify a proposed timeline for the standards changes.
DESCRIPTION:
As in the field of medicine, as research and evidence are revealed the CoAEMSP recommends changes to the CAAHEP Standards in order to reflect current practice. The Part 1 session will explore upcoming changes to Standard I (Sponsorship), Standard II (Program Goals) and Standard III (Resources, including personnel and preceptors). Come and discover what is on the horizon and how it will affect your program!

Program Director Best Practices 2014:
Return of the Open Forum!

OBJECTIVES:
At the conclusion of this session, the participant will be able to:
  1. Define the CAAHEP Standards for Program Directors.
  2. Participate in discussion to address common Program Director challenges and solutions.
  3. Gain a resource by meeting and networking with other EMS Program Directors.
DESCRIPTION:
Nationally Accredited EMS education Program Directors are required to ensure various requirements are met according to the CAAHEP Standards. This interactive session will provide Program Directors the opportunity to share their best ideas, experiences, and lessons learned in meeting the Standards.

Common challenges and areas of concern will be addressed in a popular open forum setting. If you are a Program Director of an accredited program or one in a program that is seeking accreditation, this session is for you. Bring your best ideas to share and gain many more from your peers!

Billing Contacts 
Program recently received an email notifying them to update their Billing Contact with the CoAEMSP. By default the program director is listed as the billing contact; however, some institutions have another individual listed. If you have not done this and need to, email Ruth (ruth@coaemsp.org) by April 25.

Annual Fee Invoices 
The week of May 5 programs will receive an invoice for annual fees in the amount of $1200. This invoice will come from Ruth Crump (ruth@coaemsp.org).

The due date for the invoice will be July 1. This applies to ALL programs that either hold accreditation, the Letter of Review, or are working toward the LoR. If you do not receive an invoice by May 8, email ruth@coaemsp.org.

To avoid additional processing fees, payment is due on or before July 1.

If your program requires that a Purchase Order appear on the invoice, email ruth@coaemsp.org immediately to inform us of the special request. 
What Should Student Records Include & How Long Should They Be Retained?

The CoAEMSP has no set requirements for the length of time a program should retain student records; however:
  1. Programs should maintain a complete set of student records for the current accreditation cycle (5 years).
  2. Following successful initial accreditation or reaccreditation, the program can purge a set of records each year following the completion of the most recent class. This will maintain at least five years of records at all times.  
  3. In addition, programs need to check with its institutional accreditor or state to see what they require from the program.
  4. Finally, there must be a policy on record retention in place. 
Site visitors check student records for content, organization, and completeness. As for what the records should include, the CoAEMSP has no specific requirements but suggests the following: 
  • program application
  • student immunization records
  • BLS card
  • copy of the student's EMS certification (for example, the student's EMT card going into the Paramedic program)
  • all tests
  • clinical and field evaluation forms
  • counseling forms
  • HS Diploma or GED
  • College Transcripts showing completion of necessary pre-requisites
  • Signature Packet: (Several pages of forms that the student acknowledged health insurance, handbook agreement, photo use, etc)
  • Health Status (Signed form from healthcare provider the student is mentally and physically able to perform job functions)
  • Copy of Driver's License
  • Criminal Background check
  • Drug screen
  • Documentation of any disabilities
The CoAEMSP encourages programs to check with their institutional accreditor or state for student records requirements, and then be sure that all records are organized and complete, according to these requirements. 
Important Instructions!
Submitting Progress Reports & Responses to Site Visit Findings Letters Correctly

Do you have a progress report due June 1? Have you recently hosted a site visit and have a response to the site visit findings due June 1? Be sure to submit it as a single PDF document to Karen (karen@coaemsp.org) on or before June 1 to prevent a recommendation for probation or a withhold of accreditation.

Imagine, you are charged with reviewing 60 programs' accreditation records. Imagine the documentation you have submitted for ONE program multiplied by 60. Imagine the person receiving the 60 programs' submissions and collating it for dissemination to the Board. That's what the CoAEMSP is faced with!

To ensure ALL of the documentation is received and reviewed, programs MUST:
  • submit a single PDF document 
  • submit documentation on time
  • no embedded documents
  • no external links
Failure to submit the document as a single PDF document or eliminate all links and embedded files will delay the review of the program's accreditation record.

The CoAEMSP Board has taken a hard stance on reports submitted after the deadline, in multiple files, or the wrong format. The report or response will be considered not received and the Board will NOT review the material.

Accreditation Workshop
This workshop is designed to bring the new paramedic program director and others in on the CAAHEP accreditation process including self study, site visit, and on-going issues as well as provide input on any Standards changes.

Evaluating Student Competency Workshop
This 2-day workshop is designed to assist instructors in appropriately evaluating students in all domains as well as complying with CAAHEP accreditation Standards related to student evaluation. This workshop has an online pre-course component that is approximately 4 hours in length. Information regarding accessing the online component will be sent after your registration and payment is received. More info.

CURRENT STATUS: The CAAHEP Standards Committee has been reviewing the initial draft of the Standards and Guidelines that the CoAEMSP Board of Directors approved this past February. Representatives of the CoAEMSP are working with the CAAHEP Standards Committee to answer their questions. 

NEXT STEPS: The CoAEMSP is hopeful that in May it will have a draft to share with its communities of interest. At that time you will have an opportunity to provide input.
