KANSAS-OKLAHOMA CONFERENCE

UNITED CHURCH OF CHRIST

  K-O e-NEWS

January 8, 2013

It is time once again when the Conference office and the National setting of the United Church of Christ ask each of the member congregations to report relevant statistics and information for inclusion in the National Yearbook and the online Conference Directory. This information is also used to get a snapshot of all our congregations. While numbers are only a piece of the whole picture, they are integral to our understanding of where our churches are and where they are headed. We urge you to take time to complete the forms and return them to the Kansas-Oklahoma Conference office in Wichita.

***Please note:  We encourage as many of you as possible to utilize the online portal to enter and update your information.***

Instructions and all forms, including a blank copy of form G, will be available online at http://www.ucc.org/research/yearbook.html

  • UCC Local Church Yearbook Report Form (G-Blank) This report is very important. For example the membership # is used for dues invoices and other information is gathered for statistical reports used to help local churches in decision making.
  • Report of Church Officers for 2012/2013 (Form E) If terms end January - August, please wait until new officers are elected and return this form as soon afterward as possible. Otherwise use your current slate and return ASAP. Please include terms of office (from mo/year to mo/year.
  • Ministerial Suport Form 2012 (Form F) Please use this for your Pastor and Associate Pastors or other ministerial staff.

A personalized Local Church Report (Form G) has been created for each church. I can send that to you and you can fill it out and return it to me by mail, or you can enter all the information from that form online. Please review the Local Church Yearbook Report Form (G) carefully. If there are any errors, and you are going to mail the report, make the needed changes in red ink. If you are going to use the online option, you will see and be able to make changes directly.

Please include figures for Local Church expenses as well as membership and attendance numbers. If these are not included, the last expense figures your church reported will be used in the National UCC Yearbook.

Online Instructions

User ID - Church ID (24 + 4 digit church ID)

The instructions for completing Forms G & F online are available at the above links. Also, the National Office will be offering some brief training sessions online for those churches who would like an overview of using the online database to submit their data. If you would like to take part in an online training session, let me know and I will provide you with further details regarding training dates and times.

If you would prefer that printed copies of any of these materials be mailed to you, please call me at (316) 686-4331 Tuesday through Friday from 9:00 am to 2:00 pm or email me at [email protected]  and I will send them to you. All of these reports are very important to the Conference and National offices, but the deadlines for returning forms E and F are later than From G.

Form G should be returned to the K-O Office at 1245 S Fabrique Wichita, KS 67218 by FRIDAY, FEBRUARY 8, 2013.

If you choose to enter the information electronically, the deadline will be March 1, 2013. The information from the Ministerial Support Form (F) can be submitted electronically as well or a paper form can be used. There is no actual deadline for that, but we would like to have it in the office and processed before the middle of May.

Please adhere to these deadlines. It is important for us to meet our deadlines in order to meet the publication date for the yearbook. Without your help the Yearbook would not be a useful tool. Please be aware that the data you provide may not be included in the 2013 Yearbook if you miss the deadline. (Ministerial Support information is not published in the yearbook. These figures are used strictly for comparative statistical reports.) Church officer information is used only to insure that the proper person in the congregation receives any information of interest to that position.

Please send me an email if your going to use the online option and then again when you have entered your information. [email protected]

We realize that some churches do not have their annual meeting until February or later. However, please fill out membership figures as of 12/31/2012 and financial figures for calendar year 2012 and send back the church form as soon as possible before the Feb. 8th deadline. (or March 1 if entering electronically). Form F should be sent back by the middle of May at the latest and form E as soon as possible.

Did you know grant making organizations, insurance companies and other organizations use the information you provide for the UCC Yearbook as documentation when needed? Also, because your church is included in the annual Yearbook, the IRS recognizes it as a tax exempt organization.

Thank you for all that you do to further the ministry of your local congregation, the Kansas-Oklahoma Conference, and the United Church of Christ as we seek to listen and hear the Still Speaking God. Thank you especially for taking the time to complete these forms and returning them to the Kansas-Oklahoma Conference Office.

If you should have questions or comments regarding this email or the Yearbook process, please contact me. I will in turn communicate with the National Office if needed.
