    Increase Your Efficiency with

12 Web Productivity Tools

By Debbie Adkins, MSA, CPA, CFF, CGMA

Whether you're a busy executive of a thriving organization or just helping your startup to grow, it is likely you are looking for ways to increase your productivity.

There are a growing number of online resources available to help you today and I'm going to share a few of my favorite tools:

1.    Online CRM management
Bitrix24 - Noted as a "cloud-based collaboration solution," Bitrix24 allows teams to share their activity planning, calendars, messaging, files, contacts, videoconferencing and projects in one unified space. The really great part about this tool is that it is free for teams with 12 users or less. The Standard and Professional versions, allowing unlimited users and a few more features, are also quite reasonably priced.

2.    File Sharing

Dropbox - Allowing users to share their files within the team or across their own devices, Dropbox almost seems to feel as though it were an online server.  No more emailing files back and forth.  Just store them online in the Dropbox.

3.    Managing Multiple Social Media Networks

HootSuite - Use the scheduler to plan posts for a future date and time.  You're even able to preview how they will appear, plus keep track of what gets posted where.

4.    Managing Passwords

LastPass - It's no secret that creating (and then remembering!) a multiple of different passwords can be exhausting...and frustrating when you can't log in.  LastPass is a freeware tool that is touted as "the last password you have to remember."  A $12/year premium subscription allows you to go mobile with apps for your Android, Windows Phone, IOS, BlackBerry and more.

5.    Save Text from Articles

Pocket - If you want to save articles, videos and other types of media, you can use Pocket to keep it securely stored in one spot.

6.    Access Computers Remotely

GoToMyPC - If you've ever needed to access your desk PC remotely, then GoToMyPC allows you to do just that.  You can have remote access to the files, programs and network at your office, plus work from your smartphone or tablet and remain totally mobile (or work from home).

7.    Brainstorming

Comapping - Need to collaborate with others online?  You can mind map, take notes, plan and organize using a flowchart model.  Once you've completed the brainstorming, you're able to assign tasks and set deadlines for the team.  Price varies, depending on the number of needed user accounts.

8.    Online Monitoring of Your Brand

Google Alerts - Thanks to Google, you can be alerted if your brand is mentioned online.  Or, perhaps you'd like to know when your competitors are mentioned.  Great way to know what's being talked about on the web!

9.    Video Calling

Skype - This is a great way to make video calls for meetings.  Plus, you're able to set up call forwarding, have the call ring in on all devices (and text you).

10.    Voice Messages Transcribed

Google Voice - With one number, you can use Google Voice to ring you on any of your devices, no matter where you are located or have traveled to.  If you'd like to have your voice messages transcribed, Google Voice will deliver them to you via email.  In addition, you can send free text messages to anyone within the United States or Canada.  Low rates apply to the rest of the world.

11.    Need to Keep a List

Evernote - Keeping lists helps me stay organized and Evernote is just the software to help you stay on top of everything you haven't yet done.  You can make notes with images, voicemails or even use a website link.  There's even a feature to label your notes and turn them into a reminder that you can share.

12.    Expense Tracking

Expensify - For a completely free user application, you are able to track your expenses, create your expense report and submit your expense copies as your backup.  For the business owner, there's an app that allows you to import all the card transactions, capture mileage (and other expenses), plus code the expenses to the general ledger accounts, clients/projects and set up custom fields.

I hope you're able to find a few items here to help make a difference for you! There are plenty more personal organizers, goal tracking services, to-do lists, project management services, sticky notes, invoice managers, invoice managers, online document storage, online calendars and office suites, mind mapping tools, online collaboration tools, web-based operating systems, and tools for listening to music, running and other activities.  I've just listed some of my favorites here, but there are so many more to share.  Enjoy!
