What I Have Learned in My Psi Ote Travels
How many are looking forward to another awesome Convention? It is the best opportunity we Sisters all have to "network" and find out what successes other chapters are experiencing. It is a great time to renew friendships and begin new ones.
Last year, when I stood in front of all of you at convention, during my National Treasurer presentation, I made the comment, "I have learned SO much!" I have had the opportunity to travel to make "social" visits to over half our chapters thus far, and would like to share some of the things I have learned. There are so many dedicated and service-centered women out there among us!
Following are just a few of the ideas I bring to you:
Ways to save time during a meeting (allowing more time for socializing and FUN!):
- Many chapters email the Minutes after the meeting, saving time at the next meeting by just asking for any corrections, then approval of the emailed minutes. I have even seen one secretary typing the minutes during the meeting. They are then read and approved at the end of the business meeting.
- Many chapters do not have "Roll Call," and either pass a sign-up sheet around, sign in, or just allow the secretary to record the women's names as they arrive.
- Have an officers' meeting ahead of time and read through all business, so only a synopsis needs to come to the membership at the meeting
- Chapters often have their refreshments prior to the meeting, allowing up to 30 minutes for social time prior to the start of the business meeting
How to do Cheeseballs sales:
- Take up to 2 days to mix everything
- Have all kinds of manly physical help to unload and tote everything up and down steps and levels of buildings
- Get ingredients pre-mixed by a company and just go pick up all the ingredients in large buckets or totes
- Take thousands of orders ahead of time and make room to store thousands of cheeseballs
- Purchase them already made and packaged. All you have to do is sell them at different venues and deliver to your regular customers
Ways to raise money for the General Fund:
- How much and what can you stuff in a purse or bag and auction it off? What type of beverage brings the highest price and weights a purse down the most?
- What can you donate to a give-a-way, and ask everyone to contribute $1 toward a fund to defray convention expenses at the end of each year?
- Donate .25 cents or $1 and get to brag about great things that have happened in your life since you last saw your Sisters
Variety and fun programming ideas:
- Take four $5 items of your choice and place them in the center of the room (or on a table, etc). In varying order, everyone gets to choose an item of their choice to take home, until all of the items are gone. This is a great way to find out others' hobbies or interests.
- Have a local speaker come and talk about something of interest to your membership.
When do we present our budget for the year?
- The best suggestion is to have your budget ready to present at the beginning of the fiscal year so you have a prepared financial plan to operate around your various projects and donations
- Some chapters make their budget at the end of the year, to decide how to spend the money made throughout the year
District Officers get to learn about their chapters as they communicate with them throughout the Psi Ote year, visit various chapters and field questions and concerns. At the end of the year, getting to read all of the information on the "Bright Idea Page" on the PCR is a great way to learn about all the activities of our dedicated chapters.
PLEASE CONSIDER becoming a national officer. They are an awesome group of women to work with and they WORK HARD. Even though we are volunteers, sometimes these positions take as much time as a full-time job. I am so very proud to say I am part of an organization that gets so much accomplished each and every year.

A few words from our President
AWARD ICONS
It's time to update everyone on the status of the award icons. As you may recall it was decided to discontinue handing out platters, silver candle sticks, crystal bowls, and urns, just to name a few as recognition awards at National Convention. As lovely and historic as they are, the majority of our membership prefer to have something that they can retain as a keepsake for their accomplishments and successes. Coupled with the care involved of such precious items and the transportation to and from convention each year we have opted to make our award ceremony simpler to meet the needs of our membership.
This has been a thoughtful process and some of the items have been returned, or are in the process of being returned, to the chapters that originally sponsored them. I am researching the possibility of having one of the older items placed in an Indiana museum and the remaining items will be part of a silent auction at a future convention. It has been suggested that the proceeds go toward our Long Term Project. An antique appraiser has been identified and contacted about appraising these items for their fair market value. However, due to her full schedule she is unable to look at our items until July.
Therefore, the process is slowly happening. I thank you for your patience and Cathy Etzler will be informing you of the progress after the appraisal has taken place after Convention 2014.

Convention 2014 Documents
Your Convention 2014 Documents have been emailed to all Chapter Presidents and Treasurers! If you have not received them they are available on the national website or by contacting Theta Kappa. We will gladly resend them to you and if you had any trouble opening them please request that a hardcopy be mailed to you.
PLEASE NOTE: According to our bylaws - each chapter is required to send two delegates and must pay the registration fee and the cost of both meals for both delegates! The box lunch is optional. The registration fee is $30 and the cost of both meals is $55 totaling $85 per delegate! Registrations received after the deadline of May 15 will incur a $25 late fee per delegate.
Just as an FYI - all gaming license applications have been filed accordingly and we are only waiting for the final approval by the Indiana Gaming department. However, until that time we can not advertise our raffles.
Theta Kappa is accepting donations for our raffles. They may be an item or items, gift cards, a basket already filled and ready to go, or cash to be used toward some fabulous raffle prizes. Your chapter (or business) will be identified and recognized in our program.

Convention Keynote Speaker
We are excited to announce our 2014 Convention Keynote Speaker, Andrea Pactor is from the Women's Philanthropy Institute at the Indiana University Lilly Family School of Philanthropy.
"Now More than Ever: The Power of Women Leading through Philanthropy"
 As Associate Director of the Women's Philanthropy Institute, Andrea is responsible for program and curriculum development and implementation, marketing, and operations. She has organized three national symposia on women and philanthropy, the most recent of which, Women World Wide Leading through Philanthropy, was in 2011. She co-developed the first-ever online course about women and philanthropy,
Women and Philanthropy - The Time is Now, in 2010 and the 2012 online conference, SHEMAKESCHANGE, about the intersection of women, money, and philanthropy.
Andrea is co-author of chapters on women and philanthropy, notably in Fundraising Principles and Practices, Leadership in Nonprofit Organizations and Achieving Excellence in Fundraising,
all published in 2010. Andrea has served arts, education, and faith-based organizations as a professional and volunteer. She has a BA from The American University; an MA from the University of Michigan; and an MA in Philanthropic Studies from Indiana University.

Convention Bylaw Procedure
Ladies, by the time you read this the bylaw recommendations will have been mailed to your chapters. Please read the enclosed letter in its entirety and the details within the letter.
We will be using a NEW procedure for the amending of our bylaws, as recommended by our new Parliamentarian, Mr. Ed Frazier. Your chapter President will receive an electronic copy of the by-laws as they were amended at Convention 2013. In your mailed packet, you will receive a copy of the bylaws with changes, deletions, and additions that we are proposing for Convention 2014. Please read the enclosed letter in the packet thoroughly. THIS IS VERY IMPORTANT.
At Convention 2014, we will be considering and voting on a PART at a time. Mr. Frazier has assured us this will shorten our procedure and be very effective.
Our recommendation to your chapter is to have either your delegates or a committee look over the current bylaws (after Convention 2013) along with the set of bylaw amendments that will be voted on at Convention 2014. Our reasoning is that it will be much simpler and then those individuals can report to your group.
This year will be a time of transition and we feel the value is:
- Our new procedure will save time.
- Chapters will be able to better maintain and understand their local and national bylaws.
This was much more work on our part this year as a Bylaw Committee, but we felt we were very thorough. Please contact me, your National Vice-President, Cathy Etzler or your National Treasurer, Susie Lewis, with any questions, as Susie spent a great amount of time on this endeavor. We welcome them, and realize this will be a transition. If we can clarify anything ahead of Convention, it will be worth our efforts.

From the Editor's Desk
Helicon Articles are Due to the Editor on May 10th. In case you have misplaced your letter, Here is a link:
(This was in our March Newsletter but I'm putting it here again because I've recently learned that many of our members did not click on the READ MORE link at the bottom of the first article.)
Our Helicons have gone through several changes over the years from size, number of pages, types of paper and covers, layout and content. One thing I have noticed in the Helicons from the 1930s is that the chapter articles were submitted in parts: Officers, Marriages, Social Activities, Charity, Chapter News, New Members, Charity Plans, Pledges, and New Arrivals. What I discovered is that I could easily thumb through and just read the Charity Plans or just read the Social Activities. I began to think about how this style seemed to shout "hey, I know you're busy but really want to read about fund-raisers today" Another thing I noticed is that there are a lot of ladies named in the articles too. This helps create a sense of ownership. I know that if my name or the names of one of my family members is printed in something that it just makes it an extra special piece of family history.
I feel like this is a style that might suit the next few Helicons and I'd like your help in trying it out. Since space is always a challenge I have picked a few categories out of the many I saw used in the past. This year I am asking you to submit your article in 3 parts/paragraphs. Chapter News, Charitable Activities/Fund-Raisers, and Social Activities. Also, include the names of New Members/Pledges and your slate of officers: President, Vice-President, Recording Secretary, Treasurer, Corresponding Secretary, Conductress and if you have any special positions such as Chapter Historian or Internet Guru.
If I find that I have more information than I can fit in the printed Helicon I will make sure that the extra information has a special place on our website.
Let's make the Helicon, not only our special "piece of history", but a usable tool that will enhance all the charitable work our chapters accomplish.
Please submit information you would like to see on the Website and Facebook page to your National Editor.

- Memorial Information Send memorial information and a picture, if possible, to your editor for submission in the next newsletter.
- Pictures, Pictures, Pictures! We all love to see pictures! They are a fantastic way to share your chapter ideas, fundraisers and community events that shout out, "We love Psi Iota Xi!" Forward them via email. And don't forget to post them on our Facebook Main Page and Group Page
- Check our website's online calendar for events/activities in your area and be sure to post your chapter events so other sisters can join your fun!

passed away on April 6, 2014 Mrs. Randolph's mother was a founding member of Rho Chapter.
